Omni Hotels Sales Coordinator in Oklahoma City, Oklahoma

Location

Come and join our team at this 605-room convention center hotel in the heart of downtown Oklahoma City. Our luxury hotel is located next to the Paycom Center(OKC Thunder), the Oklahoma Convention Center and across the street from the 70-acre Scissortail Park.

The property includes an all-day dining outlet (Seltzer's Modern Diner), an entertainment sports bar (OKC Tap House), specialty restaurant (Bob's Steak & Chop House), coffee shop (Park Grounds) and a retail outlet (RareBird Gift Shop). Additionally, guests can enjoy a Mokara Spa, fitness center and a rooftop pool and bar (CatBird Seat) complete with a fire pit, outdoor lawn and cabanas. The hotel offers 76,000 square feet of meeting and event space inclusive of a 20,000 square foot ballroom, 10,000 square foot ballroom, and a 4,200 square foot outdoor pre-function space that overlooks the park.

Job Description

Handles all administrative duties required by the Sales and Marketing Divisions in order to provide superior services to our guests.

Responsibilities

  • Answers incoming telephone calls from all Sales/ Catering lines• Responds to telephone inquiries by determining client’s needs and specifications forreferral to designated Sales or Catering Sales Managers• Daily office duties to include monitoring of all incoming electronic lead distributionpartners to insure prompt response by managers for all incoming leads.• Manage and maintain data content in FDC for accuracy (Grass Roots Reports)• Processes all incoming correspondences• Assist sales managers with completing expense reports if requested• Ensures that all filing systems are maintained according to spec’s• Gathers and organizes all materials for weekly/monthly reports as directed• Assist managers with VIP amenities, outlet reservations, site alert forms etc.• In the absence of a manager or at the request of, follows through on all customer requeststo ensure the customer is satisfied and that the issue or request has been resolved andsatisfied.• In charge of all paperwork involved when turning over a group or catering file fromtentative and definite (signed agreement, estimate, room blocks, MOP, booking recap,suite request forms)• Responsible for routing weekly P’s and T’s reports for weekly meeting with managersupdates.• Completes necessary documentation for telephone requests, amenity requests, keyrequests, banner requests, transportation request and vendor requests, suite requestsand AV requests• Assists sales team with blocking space in FDC as needed and creating proposals ifrequested.• Coordinate transportation and room reservations for sales incoming site guests, VIPS orrequests by team.• If needed, will assist with site visits• Multi-task and prioritize multiple requests and information; time management skills arenecessary• Detailed knowledge of the hotel meeting space, group dynamics and event details• Property-wide departmental interaction• Knowledge of hotel services and events• Ensure an efficient and professional working environment with open communication• Coordinates and provides office coverage when Catering Administrative Assistant is out ofoffice• Special projects and other duties as assigned by Sales and Catering leaders• In the absence of the sales coordinator/MRC assumes resp

Qualifications

  • Must be able to work alone as well as work well with others.

  • Must have good communication skills.

  • Must be extremely computer savvy (Microsoft Word, Publisher, Outlook, Express, Excel).

  • Previous knowledge of Delphi, Opera and Synergy preferred.

  • Must have good organizational skills.
