Surgery Care Affiliates Medical Scheduling Assistant - Surgical Specialist of Ocala in Ocala, Florida

Responsibilities

HOURS : Monday-Thursday (7:00 AM – 5:30 PM) – Half Hour Lunch Break

Administrative Responsibilities :

Check Updox daily and handle appropriately.

Prioritize and stay current with individual tasks.

Scan surgical/procedure documents into the patient’s chart.

Empty the shred box daily.

Communication Responsibilities:

Check phone messages and return all calls by the end of the business day.

Answer all calls professionally and announce your name to the caller.

Check all emails and respond promptly.

Attend office or department staff meetings, when scheduled.

Surgery Scheduling Responsibilities:

Schedule procedures and surgeries for the office-based lab and hospital facilities.

Maintain physician surgical schedules, ensuring accuracy and optimizing a full schedule.

Obtain eligibility and authorization on all procedures and surgeries, for the office-based lab and hospitals.

Enter authorizations into the patient chart.

Verify procedure orders and forward to appropriate facilities, including pre-admit facilities.

Follow-up to ensure that all necessary documentation was received.

Obtain laboratory results and any other testing needed for upcoming surgery/procedure.

After obtaining lab results from multiple facilities, have a provider sign off on them and scan them into appropriate patient’s chart.

Verify CDs have been received prior to the procedure/surgery.

Schedule and coordinate all pre-admit testing appointments with hospital facilities.

Schedule History and Physical and Post-Op office appointments.

Coordinate co-surgeons, when needed.

Coordinate and schedule proper surgical representatives for upcoming cases.

Answer patient questions and concerns relating to surgery scheduling; clinical questions are to be deferred to a provider.

Follow up with cancellations/no-shows and reschedule accordingly.

Liaison between patient family and staff for office-based lab cases.

Ensure approvals for authorizations have been received and entered correctly, prior to the case's scheduled date, for cases office-based lab and hospital facilities.

Schedule peer to peer phone calls between our provider and insurance provider to obtain authorizations, as necessary.

Obtain dictation for all office-based lab cases at the end of the day, download and send to our medical transcriptionist to transcribe.

Upload all ultrasound guided access from thumb drive to patient’s chart for all office-based lab cases.

Scan procedure diagram into patient’s chart and forward to the OBL manager for all office-based lab cases.

Print labels and create packets for the lab.

Label each page with patient’s information

Ensure all requested documents are in the packet.

Print medication list from EHR to include with the packet. Give these packets to the nursing staff one week prior to their scheduled date.

Print daily OBL schedules and encounters and pull all packets for each patient scheduled.

Call office-based lab patients one week prior to their scheduled procedure date, informing them of their arrival time and any prior instructions.

Check-in vein procedure patients

Inform patients of their next appointment

Disperse written post care instructions

Obtaining signatures for consents

Collect coinsurance

Check-in ultrasound patients for LABRM5 schedule.

Collect coinsurance and post.

Monitor and maintain journal – balance at end of the day and turn into Billing Department.

Ensure all outside representatives sign in and have proper HIPAA documentation on file.

Maintain a clean waiting area/bathroom.

Update daily the monthly calendar on the daily number of office-based lab cases.

Qualifications

Education Responsibilities:

  • Completion of all required office training courses.

  • High School Diploma
