The Department Coordinator leads various projects, initiatives, programs, and events from inception to completion and ensures that these activities are effectively executed and supported by utilizing the appropriate technological tools and platforms. Manages multiple short and long term assignments simultaneously. Performs high level Administrative duties, and holds a highly visible and pivotal role. The Department Coordinator serves as a point of contact for internal and external stakeholders and will require the establishment of positive relationships and partnerships both internally and externally. Assists with the management of comprehensive activities associated with the complex and widely diverse academic needs of HMSOM.

Responsibilities

A day in the life of a Department Coordinator at Hackensack Meridian Health includes:

  • Acts as the primary lead for a wide variety of current and forthcoming projects, programs, events, meetings, and initiatives from inception to completion which includes project tracking, ensuring timely deliverables, anticipating resources and planning needs, etc.

  • Collects and tracks data, prepares data for analysis, utilizes data for statistical review, maintains accurate records and databases, and identifies areas for improvement and innovation.

  • Takes the lead on the preparation of various presentations.

  • Coordinates events, programs, seminars, conferences meetings, workshops, and meetings. This may include making travel arrangements, organizing conference registrations, coordinating break out sessions, using QR codes for pooling purposes, etc.

  • Utilizes a wide degree of creativity, professional judgment and latitude in order to accomplish a wide variety of project related goals.

  • Serves as a principal liaison and primary point of contact for internal and external stakeholders and demonstrates strong interpersonal and networking capabilities.

  • Provides comprehensive administrative support for this department and for other HMSOM offices/leaders as needed. This includes, but is not limited to, comprehensive calendar management, selection of keynote speakers/topics, generating agendas, overseeing handouts, ensuring complete oversight/arrangements related to these events, taking minutes, composing correspondence, etc.

  • Ability to effectively troubleshoot problems, generate solutions as needed, and establish priorities of duties/requests/assignments.

  • Adheres to HMH Organizational competencies and standards of behavior.

  • Other duties and/or projects as assigned.

Qualifications

Education, Knowledge, Skills and Abilities Required:

  • Bachelor's Degree or a minimum of 5 years of work experience as an Administrative Assistant and/or project coordinator in healthcare or academia with a High School diploma/GED.

  • Strong Project Management skills.

  • High Level Administrative skills.

  • Strong analytical and problem-solving skills.

  • Ability to demonstrate exceptional skills in coordinating and working collaboratively with diverse groups to achieve complex objectives.

  • Ability to manage multiple projects involving various components and individuals

  • Ability to work in a fast-paced environment, think independently and problem solve, yet work within the general guidelines established by the Leader.

  • Excellent written and verbal communication skills.

  • Proficient computer skills that may include but are not limited to Microsoft Office and/or Google Suite platforms.

Education, Knowledge, Skills and Abilities Preferred:

  • Bachelor's or Master's degree.

  • Minimum of 5 years relevant work experience in a growing, dynamic environment supporting a large team of professionals.

  • Experience with the Google Suite of software.

  • Understanding of medical school operations is a plus.
