       Norwalk Community School District is seeking substitute secretarial staff for the 2024-2025 school year. All substitute secretary assignments will be for 2+ days, so qualified applicants must be available for consecutive days of coverage.All substitute secretaries will be paid a rate of $16.55/hour.For questions, please contact Tiffany Yacovazzi at tiffany.yacovazzi@norwalkschools.org.

Position Purpose To support the efficient and effective operation of the building offices by creating a positive environment for students, parents, and staff, and to manage the office in a manner that maximizes the educational program.

Essential Performance Responsibilities

  • Serves as second administrative assistant, performing regular clerical duties and other assigned tasks to ensure the smooth and efficient operations of the office.

  • Assists the principal and lead building secretary by performing clerical tasks and preparing student/parent communications.

  • Assists with parent open house events and parent teacher conferences (duties may involve some evening hours on occasion).

  • Sets up conference schedules, sends parent communications, makes parent phone calls, and all other duties required for conferences.

  • Helps to ensure the safety of the building and students by monitoring front exit and security equipment.

  • Serves as building receptionist receiving visitors and members from the public, receiving phone calls and distributing messages.

  • Receives/forwards student enrollment records.

  • Assists in maintaining all student files and recording data on the district student information system including student attendance, absences, student academic records, tracking student tardies, and inputting other student information as necessary.

  • Assists in communicating with parents and teachers regarding student absences.

  • Communicates necessary information to substitute employees and ensures all classes are covered by a qualified substitute teacher.

  • Performs student nursing duties as required – including medication administration

  • Processes all incoming mail.

  • Assists the principal in preparing student handbooks and other documents.

  • Assists the principal in preparing staff and public communications for school announcements, newsletters, or other communications.

  • Posts notices as directed to school website.

  • Communicates information to other school buildings and District Office as needed.

  • Receives incoming orders, verifying receipt of items and distributing supplies as needed.

  • Assists in maintaining building equipment inventories as needed.

  • Cross-training duties with other secretarial staff and nursing staff.

Qualifications Profile

  • Community college or business education in administrative assistant services and general office procedures preferred.

  • Previous experience as administrative assistant in a fast-paced office, preferably a public school.

  • Proficient in MS Office and Google Suite and able to learn to use customized software.

  • General clerical and business office skills.

  • Strong organization skills necessary to maintain an efficient and effective records system.

Physical Requirements

  • Requires lifting, carrying, pushing up to 10-40 pounds on occasion.

  • Requires some stooping and kneeling.

  • Must be able to sit upright in a desk task chair for 7 to 8 hours per day.

  • Must be able to perform data entry at a computer workstation for 7 to 8 hours per day.

Working Conditions

The employee works in a business office atmosphere with a moderately low noise level. By District Board Policy, the district facilities and grounds are to be drug, alcohol, and tobacco free zones.
