Robert Half Real Estate Services Assistant in Norwalk, Connecticut

Description We are looking for a dedicated Real Estate Services Assistant to be part of our team located in Norwalk, Pennsylvania, United States. The role involves a variety of tasks related to property management including processing payroll, managing work orders, and handling contracts. This contract to permanent employment opportunity is ideal for individuals with a strong background in customer service and real estate administrative experience.

Key responsibilities:

• Reviewing and processing payroll for onsite employees.

• Managing tenant work orders and billing tenants on a monthly basis.

• Handling invoices for vendors and overseeing monthly utility meter readings and billings.

• Creating contracts and purchase orders for vendors or setting up new vendors in our systems.

• Monitoring and updating files for certificates of insurance for all vendors and tenants.

• Updating tenant contact list, adding critical dates, and adding new tenants to the systems we use.

• Organizing onsite events for conference room usage and other special occasions.

• Managing office supplies and ensuring they are well-stocked.

• Coordinating tenant events while utilizing platforms such as Canva.

• Providing excellent customer service by promptly answering inquiries from tenants. Requirements • Proficient in customer service and able to handle client inquiries effectively

• Experience in managing office functions and procedures

• Familiarity with payroll, invoicing, and billing functions

• Ability to understand and manage contracts and insurance policies

• Experienced in dealing with vendors and managing expense reporting

• Knowledge in real estate industry and property management

• Proficiency in Microsoft Office Suites and Canva

• Able to work onsite and handle tenant issues

• Familiarity with work order management

• Experience in using Intranet for internal communication

• Ability to manage monthly billing

• Proficiency in using Yardi and MRI software

• Experience in P2P and EO/IR systems

• Administrative experience in a similar role is preferred

• Able to answer inquiries promptly and professionally
