Thorlabs Tradeshow Coordinator in Newton, New Jersey
This Tradeshow Coordinator is responsible for organizing and executing US tradeshows/roadshows and supporting international tradeshow efforts, all while maintaining Thorlabs’ strategic direction. In this role, you will work with the Digital Marketing team to evaluate current and potential tradeshows, and then execute them from conception to completion. The Tradeshow Coordinator must be extremely detail oriented and quick to understand Thorlabs’ company brand. This position is located at our headquarters in Newton, NJ and requires up to 25% travel, including some weekends. Essential Job Functions include the following, but are not limited to: Oversees communication and logistical needs prior to, during, and after events (booking shows, hotel arrangements, shipping both domestically and internationally, organizing and requesting marketing collateral, processing payments, etc.), which could be occurring simultaneously, all in accordance with marketing strategy, budget, and brand guidelines Collaborates with business and marketing leads to execute show themes, align demos and capabilities, and secure technology, services, and collateral that meet requirements Create pre-show and post-show communications with engineers and ensure they have demos delivered on-time for shipment Work with engineers to create relevant demos for each show Setup and teardown Thorlabs booth at exhibitions, directing paid labor and booth staff as necessary Staff booth during exhibition hours Handle last-minute issues as they arise, maintaining composure and professional demeanor at all times, and develops preventative measures to avoid similar issues moving forward. Research and identify potential exhibition opportunities; maintain calendar of current tradeshows, updating web page accordingly Regularly report on tradeshow performance and submit ideas to elevate the comprehensive tradeshow/roadshow efforts Partners with the CRM Business Administrator to ensure successful lead capture Maintain tradeshow warehouse, equipment, and t-shirt inventory Maintains accurate and current documentation of all tradeshow/roadshow processes, cross training other support personnel as needed Physical Activities: This position requires the ability to lift products and supplies up to 25 lbs to set up and dismantle the tradeshow booth. Standing for several hours at a time is required during tradeshow events. Qualifications Experience: Required: 3-5 Years of prior tradeshow execution Desired: Technical background or prior knowledge of Thorlabs products Education: Bachelor’s degree, preferably in marketing, communications, or a scientific field; or equivalent work experience Specialized Knowledge and Skills Strong oral and written communication, including the ability to create and deliver a presentation/proposal Strong interpersonal skills for working in a team environment and with a diverse population Highly organized, with strong attention to detail and ability to self-review work for accuracy and brand adherence Demonstrated work ethic, ownership, and accountability; ability to individually drive initiatives Strong project management skills to deliver successful outcomes on time and within budget Ability to multitask and creatively solve problems under pressure and/or time constraints Proficient in MS Office Thorlabs values its diverse environment and is proud to be an equal opportunity employer.
