MIGNONE LAW FIRM LLC Administrative Assistant in Newark, New Jersey

Manage phone calls, emails, and correspondence. Provide first line support to clients. Daily client communication. Coordinate and organize calendars, set up appointments, meetings, and events often liaising with multiple parties. Manage and organize libraries, documents, and case files. Create and edit reports, memos, and letters. Input data into databases and keep records accurate and up-todate. Organize meeting logistics, draft agendas, and record minutes during meetings. Monitoring office supply levels and order new supplies as needed. Prepare and distribute invoices to bill clients. Execute general administrative duties such as filing, photocopying, and faxing.Job Requirements: High-school diploma (or foreign equivalent) and 2 years of work experience in the job offered or related. Working knowledge of Portuguese language required. Some work experience required with: 1) Enterprise Content Management - ECM file management software; 2) Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Slides) for creating documents, spreadsheets and presentations; 3) Google Calendar for scheduling appointments and managing events; 4) Microsoft Project for monitoring tasks and projects; and 5) Adobe Acrobat for PDF creation and editing.
