Position Summary:

Under the direction of the Director of Enrollment, Revenue and Administration and in collaboration with the Chairs of Architecture and Art & Design, the Academic Advisor works collaboratively with the Senior Academic Advisor(s) as well as the Office of Academic Affairs at NJIT. The Academic Advisor is responsible for regular communication of essential information to HCAD students regarding all aspects of the advising and registration processes. The Academic Advisor will assist in the coordination of first year seminar, course scheduling, and curricula changes as well as various activities as outlined below.

Essential Functions:

  • Academic advising for the Hillier College of Architecture and Design undergraduate programs

  • Advise students on curriculum requirements and track academic success to ensure timely graduation. Use strategies for achieving completion milestones including regular email communication for reminders of deadlines, advising, curriculum changes, etc.

  • Perform various administrative tasks including permit requests, hold removal, graduation/degree certification, registration approvals for on-campus, online or hybrid courses.

  • Provide comparative curriculum data and analysis of competitor offerings.

  • Review transfer student documents and transfer protocols in collaboration with the Office of the Registrar.

  • Coordinate freshmen, transfer and graduate student orientations for Hillier College.

  • Identify current and potential needs or problem areas with students (i.e.: study skills, tutoring, etc.) and steer students to appropriate campus resources for assistance; work collaboratively with other academic units and services in the college and throughout the university to facilitate comprehensive support.

  • Assist with student retention and graduation efforts.

  • Assist with Study Abroad program enrollment and options.

  • Assist students with transfer credit evaluation.

  • Prepare documentation and attend open houses and other events and provide outreach to prospective students as determined by the Director.

  • In close collaboration with the Office of Academic Information Systems, serve as a point of contact to monitor, maintain and update the university’s web-based planning tool (DegreeWorks) to help students monitor progress toward degree completion.

  • Serve as liaison on behalf of the Hillier College Academic Advisement with the Office of the Vice Provost for Undergraduate Studies.

Additional Functions:

  • Advise student clubs, supervise student events and student-focused activities, as needed.

  • Serve on committees and panels as needed, such as the university’s Freshman Onboarding Committee.

  • Assist Chairs with curriculum changes, registration, graduation certification and student performance.

  • Answer incoming student questions regarding transfer credits and curriculum.

Prerequisite Qualifications:

  • Bachelor’s degree in education, counseling, psychology or a relevant field. Progressively responsible academic and administrative experience working with students in higher education.

  • Command of Microsoft Office and Google suites of products, with strong handle specifically on word processing and spreadsheet software.

  • At the university's discretion, the education and experience prerequisites may be exempted where the candidate can demonstrate to the satisfaction of the university, an equivalent combination of education and experience specifically preparing the candidate for success in the position.

    Preferred Qualifications:

  • Masters degree preferred.

  • Working knowledge of Banner Information Systems, Navigate software and/or similar technology platforms.

  • An understanding of architecture and/or design curricula.
