POSITION SUMMARY:

The HR Onboarding Specialist is at the heart of U.S. people transactions at Cepheid and their related systems, processes, and policies, focused on onboarding and offboarding of associates and potentially other programs covering the associate life cycle. The HR Onboarding Specialist will bring a passion to create the WOW factor experience, will streamline and oversee the onboarding process for new associates and will drive continuous process improvement. This position will work with the global HR staff, including HR business partners, Talent Management team, and Talent Acquisition team, as well as with cross-functional partners like IT, Payroll, and Facilities teams.

ESSENTIAL JOB RESPONSIBILITIES:

  • Responsible for new associate onboarding including processing new hire paperwork, background checks and Form I-9 verification, along with pre-boarding preparation and notifications to new associates and to cross-functional partners (IT, Payroll, HR, Reception, Security, Facilities, etc.) informing of new associate start date

  • Conduct New Hire Orientation (NHO) virtually and in person as required. NHO covers badging, parking, security, benefits, policies, intranet, and Workday/HRIS and includes fielding questions from new hires during the session to ensure clarity on the content

  • Send follow-up email to new associates, with link to NHO slide deck on Cepheid intranet, after the session and respond to any lingering questions

  • Post-I9 verification follow-up with associates and/or business partners, and enter information into Workday and E-verify within 72 hours

  • Act as first line of support for all inquiries from associates and managers regarding onboarding programs, policies, and procedures

  • Manage temporary worker process for client groups, onboard new temporary workers, and convert and/or extend workers as applicable

  • Maintain accurate associate data in Workday which may include new hire information, termination details of associates, updating organizational structure changes, job titles, salary increases, and other personnel-related data

  • Responsible for data entry in Workday system

  • Compile and format reports and data from Workday as needed

  • Assist with collecting data and reporting for internal audits as needed

  • Administer certain human resources policies and programs as needed

  • Ensure all processes are executed in accordance with government regulations (application of Federal, state and local labor laws)

TRAINING RESPONSIBILITIES: (REQUIRED)

  • Complete all assigned and required training satisfactorily and on time

MINIMUM REQUIREMENTS:

Education and Experience (in years):

  • High school diploma (or equivalent experience) with 5+ years of related work experience

  • Strong interpersonal skills with ability to communicate complex information in a straightforward, understandable manner

  • Experience as an Onboarding Specialist or in a similar HR role, including delivering new hire orientation and completion of Form I-9s within government regulations

  • Professional communication skills both verbal and written

  • Excellent facilitation and presentation delivery skills

  • Strong teamwork skills

  • Exhibits mental agility and the ability to operate with sound judgement in an ambiguous and ever-evolving landscape

  • Experience with Video Conference (i.e., Zoom)

  • Discreet in handling confidential/sensitive information

  • Comfortable working in a fast paced, constantly evolving, team environment

  • Self-directed, detail-oriented, problem solver with strong critical thinking skills and ability to come up-to-speed rapidly

  • Exceptional customer service focus, including attention to producing quality results with demonstrated ability to prioritize multiple tasks and manage time and work efficiently

Knowledge and Skills:

  • Proficient skill in using a variety of computer applications, including Microsoft Outlook, Excel, Word and PowerPoint
