Description We are offering a contract for a permanent position as an Administrative Assistant in New York. The role will involve supporting the execution and development of the Learning & Organizational Effectiveness strategy. This includes coordinating all learning activities, managing the learning calendar, and ensuring all events run smoothly from start to end. The job function will be performed remotely.
Responsibilities
• Coordinate all learning activities and manage the learning calendar.
• Ensure smooth execution of events from start to end.
• Handle logistics needs including room set-up, A/V needs, and training materials.
• Track registration, make cancellation decisions, and schedule session pre-calls when necessary.
• Take care of catering orders and manage inventory of materials.
• Send pre- and post-session manager and participant communications.
• Address manager and participant questions/concerns via HR, L& OE or RFT mailboxes.
• Input completions in LMS and pull reports from Service Now.
• Manage the L& OE Mailbox and assist the L& OE facilitators on expense reports/booking travel when needed.
• Handle SharePoint administration and manage internal chargebacks.
• Run new employee reports in Workday and filter as needed. Requirements • Proficiency in Microsoft Office Suites, including Word, Excel, PowerPoint, and Outlook
• Excellent communication skills, both verbal and written
• Experience in handling office functions such as reporting, training, and planning
• Knowledge in materials handling and logistics
• Familiarity with HR administration tasks
• Proficiency in using spreadsheets for data analysis and reporting
• Ability to manage calendars, schedule meetings, and coordinate travel arrangements
• Experience in handling financial notes and metric reporting
• Experience in handling purchase orders, invoices, and managing suppliers
• Ability to monitor and maintain attendance records
• Experience in managing specifications and agreements
• Ability to handle catering services for office events
• Proficiency in using Zoom for virtual meetings and presentations
• Familiarity with Workday for HR and financial management
• Experience in creating and managing training materials
