The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

The Senior Secretary is directly responsible for the successful completion of obtaining Pre-certification and Pre-authorization numbers to ensure carrier reimbursement for services rendered. The Pre-certification Representative is responsible for communicating with practice managers, clinicians, staff, outside departments and patients to ensure accurate Information is disseminated.

Responsibilities

  • Establishes communication with the Insurance carriers via telephone or Internet to obtain Pre-certification or Pre-authorization numbers for services requiring such authorization Services can be internal or external to neurology.
  • Provides insurance carriers with requested Information needed to obtain Pre-certification or Pre-authorization numbers.
  • Documents comments and Pre-certification or Pre-authorization numbers into the IDX Web Scheduling System and/or requisition forms. Scans requisitions into the CROWN system and inform patient of the pre-authorization approval.
  • Establishes communication with divisional staff regarding the status of Pre-certification or Pre-authorization attempts via e-mail and/or telephone.
  • Advises supervisor/manager of problems and potential problems within 24 hours for routine authorization and immediately for authorizations on same day services.

  • Additionally, you must provide high quality customer service by:
  • Listening to patients' and referring providers' requests for exams, times and locations. Asking the appropriate questions to get Information needed to schedule exams
  • Relaying exam specific patient preparatory Information as appropriate. Completing phone call with a professional closing.

Process/Workflow

  • Under the direction of the Manager you will: Determine when an authorization/referral is required
  • Obtain any information necessary in order to assist with the authorization process
  • Pre and/or Post authorize all exams that require authorization
  • Understand the principles of billing in order to communicate appropriate codes and forms required to ensure proper reimbursement.

Reviews next days assigned schedule to:

  • Demonstrates appropriate verbal and written communication skills to relay accurate information In a dear, concise manner to peers, staff, management, patients, guests and medical staff.
  • Initiates appropriate questions and provides timely feedback to lead and management on any issues, policies and procedures, etc.
  • Organizes and maintains records to provide accurate reporting, easy access to Information and historical data.
  • Coordinates patient care between technologists and clerical staff to facilitate a smooth workflow
  • Acts as a liaison between staff, management and physicians. Performs other duties as assigned.

Minimum Qualifications

  • Requires two (2) years of college or completion of secretarial school or equivalent business experience, plus a minimum of two to three years (2-3) related experience.

Other Requirements

  • Excellent communication and interpersonal skills.
  • Experience with medical terminology.
  • Operating knowledge of basic desktop computer applications and general office equipment.
