FirstService Residential Office Facilities Coordinator in New York, New York

Job Overview:

The Office Facilities Coordinator is responsible for assisting in the daily operations and cleanliness of FirstService Residential's Manhattan offices. This person is expected to work on-site five days per week.

Your Responsibilities:

  • Maintain all areas of the office in a neat and orderly fashion
  • Monitor bathrooms throughout the day ensuring they are in proper working order.
  • Must be available to report to the office early as requested to receive early deliveries.
  • Assist with the movement and assembly of office furniture/equipment and files when needed.
  • Painting of office space as needed as well as other handyperson tasks which may include basic plastering, light bulb changes, basic carpet tile floor maintenance, etc.
  • Stock and maintain inventory of all office supplies and printer toners.
  • Assist in the set-up of office events and meetings.
  • Act as a backup to the mailroom.
  • Sort, log, and distribute incoming mail and packages.
  • Log and track incoming messenger envelopes and parcels that require signatures from multiple carriers (UPS, FedEx, DHL, Certified Mail, etc.).
  • Main point of contact for delivery orders.
  • Sort, weigh, and stamp outgoing mail.
  • Assist associates with mail-related inquiries, clerical work, and bulk mailings.
  • Troubleshoot issues regarding mail and packages.
  • Keep the supply room and mail room organized.
  • Assist with the transfer of files and correspondence regarding properties in transition.
  • This position requires some light cleaning of kitchen floors and refrigerators.
  • Interact with vendors – messengers, UPS, exterminators, shredding company, etc.
  • Resupply all copiers with toners, waste toners, staples, and paper.
  • Responsible for handling paper jams and printer/copier issues that may arise.

Skills and Qualifications:

  • Must be able to lift up to 50 lbs.
  • PC experience in a Windows-based environment and experience with various common software packages, especially Word, Excel, and Outlook.
  • Prior experience in a Mail Room strongly preferred.
  • Knowledge of postage machines (Neopost) is a plus.
  • Ability to work under tight time pressures, handle multiple projects and prioritize work tasks.

Compensation:

$18 - $20 / hour
