The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

Reporting to the Administrator and collaborating closely with the central Sponsored Projects Team, Clinical Trials Office, Research Manager, and all study team members, the Grants Manager will be responsible for the pre and post-award administration and management of industry, private, and federal grants in the Division of Rheumatology.

Responsibilities

  • Provide dedicated research administration for multiple grants and research proposals.
  • Assist with budget preparation by obtaining cost estimates for various processes, procedures, and components within the protocol.
  • Manage pre-award administration of grants and contracts, including proposal preparation, coordination, and submission.
  • Prepare proposal budgets and justifications.
  • Handle sponsor and university proposal form preparation.
  • Complete and submit Just in Time (JIT) proposals.
  • Coordinate submission of required documentation for non-competing renewals, such as annual progress reports and no-cost extension requests, and track all submissions.
  • Provide ARC project budget setup information to SPA based on the proposal submitted/award received and input from the Principal Investigator (PI).
  • Prepare and submit personnel appointment/change and termination forms to NIH for Training Grants.
  • Maintain all proposal information, budgets, amendments, and executed documents and forms in the Division shared folder.
  • Work with the study team to prepare invoices to sponsors based on contract language.
  • Assure timely quarterly completion of Sponsored Projects Attestation Statements.
  • Review financial statements for budget and expense items, and advise the PI and Administrator of significant under/over budget expenditures.
  • Ensure the establishment of consulting agreements, subcontracts, and service agreements.
  • Approve and monitor subcontractors' timely invoicing and received payments, and update the subcontractors database accordingly.
  • Provide designated PIs with regular, structured updates on their projects' financial status, including proper research personnel and salary allocations.
  • Coordinate project close-outs, including financial reconciliation and time effort documentation, and prepare final reports to the University Controller's Office.
  • Provide coverage for other Grants Managers in various divisions of the Department of Medicine as needed.
  • Perform other related duties as assigned.

Minimum Qualifications

  • Bachelor's Degree or equivalent in education and experience plus four years of related experience
  • Two years of progressive related experience in a large, complex organization, preferably in a healthcare or university setting.
  • Ability to manage and work effectively with complex financial systems.
  • Excellent oral and written communication, interpersonal, and organizational skills.

Other Requirements

  • Successful completion of applicable compliance and systems training requirements.
