Job Type: Officer of Administration Regular/Temporary: Regular Hours Per Week: 35 Salary Range: $102,000-$117,000 The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. Position Summary Within the realm of facilities management, the Facilities Manager is responsible for a full range of activities, from routine cleaning to major projects. The Facilities Manager is responsible for environmental controls as well as vertical systems, inspecting, maintaining and repairing mechanical, electrical, plumbing, and HVAC systems to ensure optimal operating results. The Facilities Managers oversees the CDM's and off-sites facility operations, manages staff and manages the service relationships with vendors, central facilities and janitorial providers. In addition, the Facilities Manager also manages service relationships and compliance responsibilities with various environmental health and safety personnel to maintain and improve compliance with local, state and federal regulations. Facilities Manager will also have primary responsibility for managing capital projects that occur within clinical spaces. The position also oversees various maintenance and service to the school's dental vans and liaises with staff and support of the mobile dental group. As the person with overall responsibility for major and minor equipment, the Facilities Manager is responsible for the coordination of all equipment purchasing, receiving, tagging, routine maintenance, and repairs. This individual works closely with the CDM IT department in all matters related to intersection of IT and equipment function to help ensure overall smooth operation of the equipment (e.g., radiology imaging, kiosks, CAD CAM digital technology, Planmeca dental units). Facilities manager also oversees vendor-provided technicians as needed. Responsibilities Coordinates system repairs and monitors system performance Coordinates with Senior Associate Dean for Clinical Affairs on capital projects and the implementation of new building projects across all clinical areas, including faculty practices and off-sites. Ensures compliance with all safety and security protocols. Reviews and analyzes relevant activities, costs, operations, and forecast data. Serves as the principal advisor to site senior management on buildings, facilities management, and construction. Builds and maintains relationships with landlords, CUIMC/NYP facilities personnel, city, state, federal and local officials concerning facilities or capital projects. Ensures that physical plant is in good state of repair and submit tickets to CUMC Facilities Management (and other vendors) as needed. Maintains good conditions in the model lab, supervising daily cleaning efforts and lead reporting of problems to CUMC Facilities Management. Maintains adequate parts inventory and orders items as necessary. Leads all equipment purchasing efforts, including researching options, developing standards, purchasing, and receiving. Oversees and supervises a team of maintenance technicians. Executes equipment audits and record-taking policies. Responsible for ensuring existing fixed and minor equipment, throughout all CDM clinical areas and off-sites, is in good state of repair through management of the online equipment repair ticket system. Documents minor equipment that requires repair, shipping broken items out and receiving fixed items back in. Ensures timely and accurate delivery of equipment back to users. Leads QA efforts on dental unit waterlines and emergency crash carts, liaising with Director of Health and Safety and NYPH as necessary. Coordinates repairs to large, fixed equipment, including frequent liaising with outside repair vendors and supervision of onsite, contracted repair technician. Works with CDM IT to triage and resolve all issues with clinical imaging equipment. Leads equipment tagging exercise to create a comprehensive equipment database. Collaborates with Chief Dental Officer, course directors and Senior Associate Dean for Clinical Affairs to help ensure that students understand and follow all policies and safety protocols in the preclinical training lab and model lab, in conjunction with university environmental health and safety team. Coordinates maintenance and service support to the mobile dental unit team in regards to equipment located on the vehicles, as well as to the vehicles themselves, including the vehicle's generator, vacuum, and waste disposal units. Performs related duties as assigned. Minimum Qualifications Requires a bachelor's degree or equivalent in education and experience, plus four years of related experience. Preferred Qualifications Advanced MS Excel skills. Must be detail-oriented and have excellent interpersonal skills. Strong understanding of warehouse control systems Able to read and understand complex electrical, mechanical and automation systems. Working knowledge of electrical, mechanical and HVAC systems. Well-versed in technical/engineering operations and facilities management best practices Other Requirements Must be well-organized and able to optimize the use of space and equipment while reducing operating costs.
