Scholastic Executive Assistant, Board Chair & President of Scholastic Entertainment in New York, New York

Job Description:

THE OPPORTUNITY

The Executive Assistant is responsible for providing comprehensive support to an executive who is Board Chair and President of Scholastic Entertainment Inc. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with an elevated level of professionalism and confidentiality. The role requires attention to detail and commitment to follow through, clear communication and strong relationship-building skills. The Executive Assistant will interact with direct reports, senior executives and their assistants, and employees at various levels both inside and outside of the company. The EA will invest in building long-lasting relationships both internally and externally in both publishing and media sectors and demonstrate a commitment to Scholastic’s mission and a belief in our service to children, parents, educators and the communities we serve are essential.

Flexibility with work schedule is necessary because of our presence globally and in different time zones. A minimum of three (3) days a week is required in the New York office.

RESPONSIBILITIES

  • Complete a broad variety of simultaneous administrative tasks, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; completing expense reports; as well as ad hoc requests as they arise.

  • Manage and maintain the Board Chair/President of SEI’s extremely active calendar of appointments, schedules and travel arrangements. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.

  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Board Chair, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect the Board Chair’s style and organization policy.

  • Work closely with the Board Chair/President of Scholastic Entertainment to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Function as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated. Anticipate the Board Chair/President of SEI needs in advance of meetings, conferences, etc.

  • Coordinate the Board Chair/President of SEI’s work-life tasks with utmost discretion and confidentiality.

  • Provide support for the meeting of the Board of Directors. Arrange and handle all logistics for Board meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials. Adhere to compliance with applicable rules and regulations set in bylaws regarding Board matters.

Qualifications

HOW YOU CAN FIT

SUCCESSFUL CANDIDATES WILL POSSESS THE FOLLOWING QUALIFICATIONS:

  • Significant executive support experience, including supporting C-level executives.

  • Expert proficiency with Microsoft Office and desktop publishing software; ability to design and edit graphic presentations and materials.

  • Expert proficiency with MAC and all Apple products and the ability to quickly learn about new products. Must competent with a MAC.

  • Strong verbal and written communication skills.

  • Exceptional organizational skills and impeccable attention to detail.

  • High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, and external stakeholders.

  • Make appropriate, informed decisions regarding priorities and available time.

  • Ability to complete a high volume of tasks and projects with little or no guidance.

  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.

  • Able to maintain a high level of integrity and discretion in handling confidential information.

  • Excellent judgment is essential.

  • Ability to switch gears at a moment’s notice.

  • Knowledge of the publishing and/or media sector is preferred.
