The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

The Division Administrator serves as the business, financial and administrative link between the Division and the Department of Medicine.

Responsibilities

Division Leadership and Strategic Planning:

  • Advise Division Chief and other leadership on strategic matters related to program planning, faculty recruitment, and utilization of funding and other resources.
  • Work closely with Division Chief to develop/update comprehensive plan for Division's growth and continued success.
  • Act as an advocate for the Division and its programs in multiple contexts.
  • With Division Chief, champion efforts to promote Division and its programs.
  • Responsible for the financial reporting of the divisional accounts to the Chair of the Department and the Department Administrator/CFO.
  • Oversee all administrative aspects of faculty recruitment, including development of business plans and offer packages.

Finance and Research:

  • Oversee all aspects of financial functions and supervise financial staff members. Take hands-on role in training and developing staff.
  • Direct all aspects of finance administration in the Division, including revenue cycle operations.
  • Audit and review physician billing service reports to track income with operational (productivity) data.
  • Audit, review, and reconcile external sources of revenue, including support from New York Presbyterian Hospital.
  • Direct all aspects of sponsored research administration in the Division, including pre- and post-award support and effort reporting.
  • Ensure that Principal Investigators review their individual research-related expenses, and provide guidance in development of projections.
  • Oversee all aspects of divisional budgeting and financial projections, including budget development and reconciliation of divisional budget projections with general ledger.
  • Ensure compliance and accuracy of financial transactions and use of financial systems.
  • Review/approve financial transactions, including complex procurement transactions.
  • Administer the divisional physician compensation plan, including review of physician productivity and distribution of productivity income.
  • Advise on compensation planning, and oversee faculty compensation transactions to ensure accuracy.

Administrative Management:

  • Supervise administrative support staff and perform annual evaluations.
  • Ensure faculty members receive appropriate administrative support.
  • Provide staff training, ensure necessary coverage, and oversee staff development.
  • Direct all aspects of Human Resources matters within the Division, including staff recruitment and onboarding, working closely with departmental HR personnel. Supervise the Division's HR coordinator.
  • Oversee all academic and research appointments, including university and hospital credentialing.
  • Oversee reappointment and promotion of personnel.
  • Oversee clinical operations performed by the Division.
  • Supervise clinical practice personnel including support, clinical and administrative staff.
  • Working closely with the Division Chief and other members of Division leadership, direct all matters related to facilities/space, capital equipment, and procurement.
  • Allocate space and ensure it is utilized effectively to meet the Division's clinical, administrative, and research needs.

Perform additional related duties as needed.

Minimum Qualifications

  • Bachelor's degree or equivalent in education and experience, plus five-seven years of related experience
  • Experience must include at least three of the following: budgeting, accounts payable, clinical operation, revenue cycle and research management
  • Experience in an academic and/or clinical setting that includes administration of federal grants
  • Experience managing human resources matters in a comparable organization is required
  • Excellent computer skills including advanced level Excel skills
  • Outstanding communication and interpersonal skills to act as an effective representative of the Division and the Division Chief at the highest organizational levels
  • Ability to interact with all levels of faculty and staff and with internal and external constituencies
  • Strong conceptual, financial, analytical, and problem-solving skills in addition to a proven record of financial and administrative success

Preferred Qualifications

  • Relevant experience managing a large division in an academic medical center, or in a similar environment
  • Knowledge of university systems

  • Successful completion of applicable compliance and systems training requirements
