What this job involvesThe Project Coordinator is responsible for various processes related to space projects, space resets, customer satisfaction, as well as transparency and reconciliation of costs associated with all space related activities. Responsibilities for this role include, but are not limited to, planning, implementation, and delivery of space related projects across various buildings.Project ActivitiesProject Planning
Gather details needed for project initiation and coordinate kick-off meetings with proper teamsReview space change requests as a team to ensure the best utilization of available spaceReview private room requests to provide users dedicated office spaces throughout the campusConduct site visits with stakeholders to grasp full understanding of client requestPopulate and maintain Gantt charts and adhere to project timelines in order to meet project deliverables
Project Execution
Maintain, update, and distribute accurate status updates to the project schedule and provide regular reporting stakeholders on project progressAct as liaison between facilities teams and the vendors, communicating any change requests to stakeholdersPrepare, maintain, and distribute communications related to recurring project requests, schedules, and progressTrack vendor supplied items and coordinate dates of delivery with Project Managers, IT, and vendors to confirm deliveries coincide with requirements to meet project deadlinesConsistent follow up with vendors on all project related action itemsSubmit service tickets requesting test fits, CAD files, space cleanings, including other project related activities
Project Closeout
Aid in the build out of standard operating procedures for project related activitiesReview the space projects post completion, documenting lessons learned and best practices to improve efficiencyAssist the project team with essential administrative and day to day responsibilities
Customer ExperienceManage all new hire onboarding information - reach out to admins/managersUpdate project matrix, fill in customer information, technical requirements.Communicate with client on upcoming projects and impact on business

Bachelor's degree preferably in Construction Management, Engineering, Architecture, or Business Management1- 2 years experience in a fast paced high functioning environmentStrong analytical, organizational, and presentation skillsProficiency in word processing, database management, and email softwaresDetail oriented, organized, and able to multitask and prioritize tasksExcellent written and verbal skills
