Position Summary

As Columbia University's technology transfer office, Columbia Technology Ventures has three primary missions:

  • To facilitate the translation of academic research into practical applications, for the benefit of society on a local, national, and global basis;
  • To support the research of Columbia faculty by generating funding for the University and facilitating partnerships with industry where appropriate; and
  • To educate and serve as a resource for the Columbia community on matters relating to entrepreneurship, intellectual property, and technology commercialization.

As such, CTV's day-to-day objectives are to commercialize the intellectual property being developed by Columbia's researchers, either by completing licensing deals or via new company formation. In addition, CTV supports faculty on industry-sponsored research agreements, material transfer agreements, and all other agreements related to Columbia's intellectual property.

CTV is advertising for an Accounts Receivable Analyst to work as part of our Finance & Administration team. The F&A team has the responsibility for ensuring the efficient and effective execution of our various financial operations, including accounts receivable for license and legal reimbursement revenue, account reconciliations, distribution of revenue received, accounts payable, budget management, and projections. This role focuses on the invoicing and collection of reimbursements due from licensees for out-of-pocket patent prosecution and other legal expenses, as well as invoicing for fees and royalties stemming from license agreements. As such, the role will be a good experience for anyone interested in the financial operations of intellectual property licensing, or any other revenue-generating business.

The Accounts Receivable Analyst will report directly to the Business Manager, Accounts Receivable, but will also work frequently with the rest of the Finance & Administration team, as well as other areas within CTV and Columbia University.

Responsibilities

Assist in maintaining the accounts receivable function, as well as assist with the financial operations and reporting for the technology transfer office, including:

  • Conduct invoicing, tracking, receipting, recording, and reporting for legal and license accounts receivable, including analyzing royalty statements; interpreting agreement terms; recording general journal entries; generating revenue transactions; recording routine and non-routine accrual entries; monitoring accounts receivable turnover and aging; pursuing delinquent receivables; regularly reconciling all revenue accounts between various financial databases; and maintaining data integrity as needed to ensure accurate billing of licensees.
  • Assist in the management of accounts receivable for all revenue streams derived from license agreements between the University, outside companies, and institutions - with a particular focus on contractually obligated legal reimbursements, but also including royalty payments, license fees, minimum royalties, milestone payments, equity cash-outs, interest, and installments.
  • Working with outside counsel and Columbia's Office of the General Counsel, ensure the timely and accurate upload of all legal expenses to the technology tracking database, under the direction of the Senior Business Manager.
  • Routinely fulfill requests to provide historical legal expense estimates based on analyses of invoices from outside legal counsel.
  • Develop and conduct in-depth analyses to analyze historical trends and isolate and explain variances in license revenues and legal reimbursements.
  • Record and track adjusting entries in accordance with generally accepted accounting principles, and provide data to assist in the post write-off collection process.
  • Conduct and track an annual post-contract compliance campaign.
  • Provide financial data for State and Federal government compliance reporting.
  • Participate in special projects and duties as required.

Minimum Qualifications

  • A bachelor's degree or its equivalent is required, preferably in finance, accounting, or other related fields.
  • A minimum of two years of experience is required, ideally in a related function.
  • Knowledge of financial analytical methods and fundamental accounting concepts preferred, including excellent analytical skills, the ability to develop complex analytical models, and strong working knowledge of generally accepted accounting principles.
  • Must have excellent organizational skills and be extremely detail-oriented.
  • Strong communication skills and the ability to work in a fast-paced, high-volume environment required.
  • Must be able to work well with all levels of management, have a passion for excellent customer service, and a commitment to exceptional quality.
  • Strong computer skills, with at least intermediate-level Excel skills required.

Preferred Qualifications

  • Experience with contract or agreement interpretation is preferred, but not required.
