Administrative Coordinator II-(Executive Support) Development & Fundraising-Corporate Full-Time Days

Provide executive level support to Vice President (VP) for the Mount Sinai Health System. This position is responsible for setting the pace for the fundraising and revenue activities for the VP, as it relates to Mount Sinai fundraising efforts and Trustee support for the Campaign Steering Committee. He/she will direct the administrative activities for the VP with the development team and organizational leadership, and provide regular updates on key initiatives and day-to-day operations of the Office of Development. This may include administration of policies, procedures, and project management as it relates to the Campaign.

Qualifications

  • Bachelor?s Degree or combination of applicable experience and education

  • 7+ years related administrative or business experience required. Some supervisory experience strongly preferred.

  • Cover letter is required

Computer Skills:

  • Intermediate or Advanced proficiency in Windows Microsoft Office products, especially Outlook, Word, Excel and PowerPoint.

  • Basic familiarity with Raiser's Edge a plus.

Responsibilities

Coordination of fundraising projects or commitments in the planning and execution of the next multi[1]billion dollar campaign. Assist the VP with communication to Mount Sinai Campaign Trustee Chair and assist with the VP’s portfolio management. This position also requires close coordination with the offices of the Chief Development Officer, Mount Sinai Leadership, senior physicians/scientists and internal Development Office teams.

Campaign Support

  • Proofread letters, speaking points, briefings, personalized donor acknowledgments as well as other correspondence as directed to support Campaign Trustee Chair. Schedule cultivation, stewardship, and solicitation meetings with Sinai leadership.

  • Manage the formation and reporting needs of the Campaign Steering Committee (CSC) and stewardship plans for high level Trustees including establishing meeting schedules, preparation of materials, presentations, and agendas.

  • Drive campaign planning project management and timelines internally; engage key development staff in planning and maintenance through organized task forces and other collaborative approaches.

  • Assist in analysis of data and requesting data points for Major Gifts and Principal Gifts meetings and coordinate outlook meeting requests, location of meetings, and preparation for meetings.

Portfolio Support

  • Provide executive support for the VP (e.g. scheduling physician/scientist meetings, donor meetings, maintain VP’s calendar in Microsoft Outlook, prepare and coordinate materials, agendas for meetings, etc.). Field and respond to phone and email inquiries. Serves as the primary liaison with the offices of the trustees and principal and major gift donors from within the VP’s portfolio.

  • Maintain forecasting reports, fundraising projections and outreach efforts for VP’s individual fundraising goals. Update proposals, coordinate cases for support, and moves management of prospects. Raisers Edge Prospect/Portfolio Management: Update and maintain all moves management information related to VP’s managed portfolio as well as prospect base including entering contact reports, adding and updating proposals, entering future/anticipated actions, maintaining all data/coding related to the several reports most frequently used in tracking and measuring donor moves management.

  • Draft correspondence, and prepare/coordinate in house mailings to VP’s managed prospect portfolio. Edit and format written documents for the VP such as proposals, case for support, and program summaries

  • Schedule Philanthropic Leadership Board meetings and cultivation events. Handle all logistics with Events Team and Sr. Director of Development for The Friedman Brain Institute.

  • Develop and maintain an inventory of critical projects in which the VP is especially interested and/or for which her awareness and involvement is essential.

General Support

  • In support of the SVP for Development and the VP, the position sets agendas, creates deliverables, and coordinates follow-ups. Helps to ensure participants are aware of the objectives and monitors the progress and achievement of such meetings.

  • Schedule recurring meetings with and manage communications and follow-up to SVP for Development

Compensation Statement

Mount Sinai Health System (MSHS) provides a salary range to comply with the New York City Law on Salary Transparency in Job Advertisements. The salary range for the role is $65885 - $98827 Annually. Actual salaries depend on a variety of factors, including experience, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
