How you'll help us Keep Climbing (overview & key responsibilities)
This individual will provide support to both the Managing Director of IFS Operations and the Northeast Regional Corporate Director who proudly provide support to over 20,000 Flight Attendants and 300 leaders and support staff throughout the vast Delta network. The ideal candidate will possess exceptional communication skills, a strong attention to detail, and the ability to manage multiple priorities in a fast-paced environment. This role requires a blend of administrative expertise and interpersonal skills to ensure smooth operations and effective collaboration.
The successful candidate will be expected to perform advanced, diversified, and confidential executive administrative duties. The candidate must be organized, flexible and enjoy the executive administrative challenges of supporting an office of diverse people and programs.
The successful candidate will interact with individuals inside and outside the company with a high degree of professionalism and business presence. The candidate must be resourceful, and efficient in a fast-paced operational 24/7 environment and exhibit an energetic "can-do" approach to the responsibilities of this position. This is not a remote opportunity and is expected to work onsite at JFK and LGA, and some travel is required.
Key Responsibilities:
Providecomprehensive administrative support to executives, including managingcalendars, scheduling meetings, and coordinating travel arrangements
Prepare,edit, and summarize correspondence, reports, presentations, org charts, memos,letters, and other documents as needed utilizing MS Word, Excel, PowerPoint,and Outlook is a requirement
Conductresearch and compile data for various projects and reports
Streamlineoffice processes and implement improvements to enhance efficiency
Supportproject management efforts by coordinating tasks and deadlines
Actsas an information source on policies, procedures, processes, and practices
Abilityto handle confidential information with professionalism, discretion, anddiplomacy
Mustbe highly advanced in multitasking and possess the ability to manage multiplehigh-level projects
Create,manage, and maintain multiple schedules, meetings, and travel itineraries
Monitorsand purchase office supplies using purchasing account
Completes,submits, and reconciles expense reports and invoice statements
Receivestelephone calls, and prepares responses to correspondence containing routineand sometimes complex inquiries are typical tasks associated with the position
Coordinatesdetails of event planning and logistics including meetings, A/V conferenceset-up, conference rooms, presentation and materials preparation, cateringcoordination, venue layouts, external vendors, etc.
Candidatemust feel comfortable and be flexible, problem-solve, proactive, resourceful, and efficient in afast-paced environment, often under pressure
Expertlevel written and verbal communication skills, strong decision-making abilityand attention to detail are equally important
Pay Range: $19.57 - $39.04 per hour
What you need to succeed (minimum qualifications)
Possessesadvanced computer skills in Microsoft Outlook and strong working knowledge ofWindows-based applications like Word, PowerPoint, and Excel
Abilityto take initiative, work independently and have a strong sense of businessmaturity
Maintaincomposure in an ever-changing environment, able to handle competing prioritiesand effectively handle a high-volume of email/workload – pivoting whennecessary while acting with a sense of urgency
Abilityto handle confidential information with professionalism, discretion, anddiplomacy
Mustbe team-oriented and able to coordinate activities across multiple departmentsworking closely with administrative assistants in other areas
Demonstrateexcellent communication skills necessary to screen and route correspondencesand make inquiries regarding business processes or schedules and be able tocommunicate and direct the assignments and responsibilities of others asnecessary
Hasthe necessary skills to effectively write business correspondence
Stronginterpersonal skills are necessary to greet visitors, customers, and businesspartners or to make inquiries and exchange business information
Mustbe able to apply attention to detail sufficiently to ensure that information isaccurate and correct, that documents are grammatically correct, and that workis completed in a timely manner
Musthave the ability to coordinate the schedules of multiple aspects of projectsassigned by individual staff members or vendors
Musthave the ability to communicate verbally and in writing with all levels ofstaff from frontline employees to executive staff
Mustbe performing satisfactorily in present position

Possessesa high school diploma, GED, or high school equivalency.
