Job Title: Customer Service Order Entry Representative

Job Description:

We are seeking a detail-oriented and experienced Order Entry Specialist to join our team. The successful candidate will be responsible for managing order entry processes and coordinating with internal departments including Sales, Accounting, Shipping, and Production.

Key Responsibilities:

  • Perform accurate and timely order entry.

  • Coordinate with Sales, Accounting, Shipping, and Production departments to ensure smooth order processing.

  • Utilize database software such as MS Navision and MS CRM for order management.

  • Handle purchase orders in the ERP system and coordinate orders with the shipping department.

  • Maintain accurate records and ensure data integrity

Order Entry:

  • Collect and process purchase orders via email on the company ERP system.

  • Manage weekly/monthly reports as requested.

  • Provide accurate, valid, and complete information by using the right methods/tools.

  • Keep records of customer interactions, process customer accounts, and digitally file documents.

  • Follow communication procedures, guidelines, and policies.

  • Take the extra mile to engage customers.

Data Entry Duties:

  • Verify any incomplete or illegible customer-supplied contact information.

  • Accurately record the products and quantities received in each shipment.

  • Alert the Supervisor of any special or unusual requests.

Office Duties:

  • Maintain a neat and orderly work area.

  • Adhere to company policies and practices.

  • Follow safety rules and common sense safety practices.

  • Potentially generate sales leads that develop into new customers.

  • Identify and assess customer needs to achieve satisfaction.

Must Haves:

  • Experience with database software, i.e., MS Navision and MS CRM preferred.

  • Experience with purchase orders in an ERP system and coordinating orders with shipping.

  • 2+ years of data entry experience in a similar role.

Qualifications:

  • Strong attention to detail and organizational skills.

  • Excellent communication and interpersonal skills.

  • Ability to work independently and as part of a team.

  • Proficiency in MS Office Suite
