Job Summary

We are seeking a detail-oriented and organized Administrative Assistant to join our construction team. The ideal candidate will provide essential support to our office operations, ensuring smooth and efficient functioning. This role requires excellent communication skills, a proactive attitude, and the ability to handle multiple tasks in a fast-paced environment.

Key Responsibilities

General Administrative Support:

  • Answer and direct phone calls, emails, and other inquiries.

  • Greet visitors and manage front desk operations.

  • Maintain office supplies inventory and place orders when necessary.

  • Organize and schedule appointments, meetings, and travel arrangements.

Documentation and Record Keeping:

  • Prepare, organize, and manage project documentation, including contracts, permits, and other essential records.

  • Ensure all documents are properly filed and easily accessible.

  • Assist in the preparation of regularly scheduled reports.

Project Coordination:

  • Support project managers and team members with administrative tasks.

  • Track project timelines, milestones, and deadlines.

  • Assist in the coordination of project activities, resources, and information.

Financial and Accounting Support:

  • Process invoices, purchase orders, and expense reports.

  • Assist with payroll processing and maintaining financial records.

  • Liaise with vendors and suppliers to ensure timely delivery of goods and services.

Communication and Correspondence:

  • Draft and distribute correspondence, memos, and other documents.

  • Coordinate communication between different departments and external stakeholders.

  • Maintain a professional and courteous demeanor in all interactions.

    Requirements

Qualifications:

  • High school diploma or equivalent; Associate’s or Bachelor’s degree preferred.

  • Proven experience as an administrative assistant or in a similar role, preferably in the construction industry.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Excellent organizational and time management skills.

  • Strong written and verbal communication abilities.

  • Ability to work independently and as part of a team.

  • Attention to detail and problem-solving skills.

  • Familiarity with office equipment, such as printers and fax machines.

  • Knowledge of basic accounting principles and bookkeeping.
