Position Description

The Office Support Specialist 1 - Administration position is a full time Civil Service position in the Metro Parks and Recreation Department – Finance and Administration Division. This position will perform a wide range of clerical or administrative processes or procedures, supporting specific projects in various areas of business operations or lending support to other divisions on joint projects, tasks or shared goals.

Metro’s Parks and Recreation Department has something for everyone through its variety of strategically placed facilities and programs. Typical Duties

  • Performs a range of routine administrative and clerical duties.

  • Uses advanced computer skills to manipulate, convert, create, and/or distribute documents within Microsoft Office suite.

  • Ensures that consideration and courtesy are provided for the public and internal team members.

  • Operates various office machines.

  • Covers the reception desk when needed.

  • Completes administrative duties such as filing, typing, copying, data entry, scanning, etc.

  • Producing and distributing correspondence (memos, letters, faxes, forms).

  • Answers and directs phone calls.

  • Replies to email, telephone, or face to face inquiries.

  • Provides customer service for and directing office visitors and employees.

  • Provides polite and professional communication.

  • Assists in generating reports.

  • May assist in taking accurate meeting minutes.

  • May help with organizing and scheduling appointments and meetings.

  • May book conference rooms and meeting areas.

  • May serve as a requester in the procurement process - ordering office supplies, etc.

  • May help in storeroom operation.

  • Completes or performs other duties or responsibilities as needed.

Minimum Qualifications

Education and Experience:

High School Diploma or equivalent and four (4) years of increasingly responsible clerical/administrative experience.

LICENSES REQUIRED: Valid Driver's License

Note: Per Metro Ordinance No. SO94-1078. All employees of the Metropolitan Government shall be residents of the State of Tennessee or become residents of the state within six (6) months of employment as a prerequisite to employment with the Metropolitan Government.

Preferred Experience, Knowledge, Skills, and Abilities

  • Experience utilizing MS Office (Outlook, Word, Excel, PowerPoint)

  • Customer Service Experience

  • Experience forwarding calls with a muliti-line phone
