THE JOB

Country Nation, Live Nation’s Country Festival Division, is seeking an Administrative Assistant/Project Manager reporting directly to the COO of the division. The ideal candidate would have a strong interest in festivals and live music promotion. Exceptional computer, internet, language, telephone and English/grammar skills are a must. This is a hands-on, fast-paced position, and involves travel, on-location as well as office work.

WHAT THIS ROLE WILL DO

  • Proactively manages the workflow and calendar of the COO, including meetings, correspondence, and milestones.

  • Helps organize critical work projects. Composes and prepares correspondence, memos, power point presentations, confidential materials.

  • Communicates with high level contacts inside and outside the company, including booking agents, artist managers and leading industry professionals.

  • Prioritizes with the COO to make sure that all objectives are addressed and handled in a timely manner.

  • Prepares expense reports for assigned executive(s) as requested.

  • Schedules and coordinates meetings or other events as directed by the COO.

  • Manages Country Nation’s team calendar, festival planning agendas, managers meetings, etc.

  • Assesses the nature of incoming communications, accurately records messages and/or handles requests independently. Follows up with necessary parties regarding information requests.

  • Manages artist contracting process, including deposits and all necessary paperwork and correspondence.

  • Manages internal projects from start to finish, (varies per festival, including but not limited to CREDENTIAL management, ART BAR and other FOH fun activities, sustainable cup program, customer service program management)

  • Responsible for post festival staff survey creation and information gathering. Creates report to give feedback to management/team.

  • Creates and manages budgets for projects, including formatting and data entry.

  • Manages festival production office on-site, including but not limited to, COO’s on-site needs & supplies, managing credential assistants, administrative, production, & festival needs etc.

  • Coordinates with the production department on travel, lodging, car services.

  • Executes administrative needs of running an office (ordering office supplies, interfacing with office building management, copying, scanning, etc.).

  • Maintains updated manuals, policy and procedure files, etc. in applicable format.

SKILLS/COMPETENCIES

  • Bachelor’s degree in a related field, or equivalent work experience.

  • Experience as an assistant to a high-level individual within a fast-paced organization would be a bonus.

  • Ability to prioritize and manage simultaneous projects.

  • Solid project management and problem-solving skills.

  • Ability to be internally inspired to perform a task to the best of one’s ability using his/her own drive or initiative.

  • Must be flexible and responsive to evolving and changing business environment.

  • Ability to communicate effectively, verbally and in writing with individuals in all levels of the organization, but particularly with members of the highest level of the organization.

  • Ability to work independently and thrive in a multi-task, fast-paced environment.

  • Excellent organizational skills.

  • Excellent attention to detail.

  • Ability to maintain confidential information.

  • Knowledge and ability to work in Microsoft Excel, Word, PowerPoint and Outlook and the ability to learn other basic computer programs.
