Position Description

The Event Services Coordinator, a non-Civil Service position located with The Fairgrounds Nashville, is responsible for a ssisting in the planning and execution of special events for The Nashville Fair and associated support tasks. They will provide excellent customer service and organize unforgettable events that will ensure the entertainment of fairgoers and fulfill the mission of The Nashville Fair and The Fairgrounds Nashville.

Position requires flexible work week and shifts to include weekends, late nights, and early mornings.

Typical Duties

Assist with the planning, coordination and execution of special events including customer engagement, event layouts, event day management and follow-up, and participant engagement during the Fair.

  • Understand and/or help author requirements for each Fair event.

  • Help plan events with attention to financial and time constraints.

  • Assist in site logistics, planning, and preparation for use of fairground buildings and resources; coordinate décor for entrances, gates, banners, and signage during the Fair.

  • Oversee events; recognize and act appropriately and quickly to resolve problems that may arise.

  • Collaborate with marketing team members to create brand awareness and enhance local visibility and attendance of the Fair.

  • Assist and create social media content throughout the year to support the Fair.

  • Assist and create Fair website suggestions and updates.

  • Work closely with community organizations to foster Fair participation and maintain a positive public image of the Fair through community involvement and awareness.

  • Establish and maintain successful relationships with our exhibitors, vendors, non-profit agencies, program partners, educators, sponsors, and volunteers while ensuring the highest level of customer satisfaction.

  • Assist with developing sponsorship programs, oversee timely delivery of sponsor benefits and recognition, and help secure in-kind goods and services for the Fair.

  • Ensure Fair sponsor and media credentials are appropriately distributed and managed.

  • Communicate internally with monthly calendar updates, event information, and quick email blasts.

  • Perform various supervisory duties in the absence of the Fair Manager.

  • Learn Metro policies and procedures in regard to job duties.

  • Inventory, track, and order supplies and materials as needed.

  • Process and monitor all Fair contracts, insurance, invoicing, and payments.

  • Advanced Microsoft Office Suite skills and experience with ShoWorks a plus.

  • Any other duties/responsibilities as assigned by the Fair Manager.

  • Some travel offered to attend fair conferences and other fairs.

  • Be curious, ask questions, present ideas, and brainstorm freely with a team in fun, collaborative atmosphere.

Supervision Exercised/Supervision Received

May supervise professional Fair and/or support staff, paid service providers, Fair department heads, and volunteers involved in specific Fair programs.

Employee receives direction from and reports to the Fair Manager.

Working Environment/Physical Demands

Employee is sometimes required to stand for long periods of time; frequently walk or move about the property, be able to lift 50lbs, and occasionally assist in lifting and transporting objects such as tables, chairs, boxes, platforms, etc. if needed.

Must be able to occasionally work nights and few weekends as needed closer to the fair, including working on?property every day before, during, and after the fair (roughly 4 weeks between August 26 – September 23 of every year.) During the ten-day Fair, an average workday is 14-16 hours/day with various options available for compensation including compensatory time and/or overtime.

Minimum Qualifications

High school diploma or equivalent education required and minimum two (2) years’ experience in coordinating or marketing special events.

Candidates with accreditations earned in a foreign institute are encouraged to apply.

Note: Per Metro Ordinance No. SO94-1078. All employees of the Metropolitan Government shall be residents of the State of Tennessee or become residents of the state within six (6) months of employment as a prerequisite to employment with the Metropolitan Government.

Preferred Experience, Knowledge, Skills, and Abilities

  • Bachelor’s degree in event management, non-profit administration, marketing, or related field preferred

  • Minimum one (1) year of supervisory or leadership experience preferred

  • Possess a high level of attention to detail and organizational skills

  • Have the ability to work independently and as part of a team

  • Be a good team player: able to share credit with coworkers; display enthusiasm and promote a friendly work environment; work closely with other departments; support group decisions

  • Ability to communicate effectively, both verbally and in writing

  • Strong ability to plan: able to manage multiple projects, determine project urgency in a meaningful and practical way, use goals to guide actions, create detailed action plans.

  • Maintain regular and punctual attendance

  • Have an equivalent combination of related education and experience if need be to substitute for experience requirements above.

  • Must pass conditional post-offer background check, motor vehicle record check, and drug screen
