Vanderbilt University Digital Asset Manager in Nashville, Tennessee
The Digital Asset Manager is part of the Marketing Solutions team within the Division of Communications at Vanderbilt University and is a key individual contributor responsible for overseeing the growth, development and optimization of the digital asset management (DAM) system for the university. This position is responsible for advancing the functionality and user experience of the DAM and working with partners throughout the university to champion its use and integrate new assets. Reporting directly to the Executive Director for Marketing Solutions, the Digital Asset Manager will work closely with partners within the Division of Communications and across the university in pursuit of system optimizations that enhance the user experience
The Marketing Solutions team within the Division of Communications is responsible for developing and executing strategic content and developing digital platforms that advance the university’s priorities and promote engagement amongst all core audiences.
Duties and Responsibilities
Lead the management and development of the DAM as an enterprise-wide tool for enhancing communications, marketing, and core academic and research functions.
Collaborate cross-functionally, within the Division of Communications and with departments across the university, on the maintenance and evolution of taxonomy structure and metadata standards.
Optimize search results by performing bulk updates to asset metadata and deploying AI tools for auto tagging and facial recognition.
Evaluate key areas like search performance and user experience (UX). Solicit and integrate user feedback to continuously improve system performance and UI.
Assign roles and permissions, including the coordination of user/group permissions and access management in collaboration with the department manager.
Lead any migration efforts of legacy content or new business unit content as part of both migration and archival responsibilities.
Create and run reports to summarize trends for asset usage, adoption, and delivery.
Act as primary point of contact with the vendor (Orange Logic), including regular check-in meetings, enhancement requests, break/fix requests, and upgrade/maintenance scheduling, etc.
Act as a DAM ambassador to drive adoption across the university.
Provide front-line support for DAM users by promoting, training and supporting the users of the system, as well as ongoing training to keep up to date on system functionality.
Perform onboarding training for new users to ensure adoption.
Create and record training materials in addition to training users of the systems.
Lead workshops and one-on-one trainings to ensure competency among all users.
Liaise with Vanderbilt University’s IT team on technical issues and integrity of data.
Understand the latest asset management innovations and trends to constantly improve tools, policies and processes around asset management.
Enter and maintain metadata, auditing folders and content on a daily basis. Correct misnamed, mis-tagged/untagged content and provide guidance for users regarding metadata.
Manage and fulfill image requests across the division and the university utilizing a variety of delivery methods to meet specific needs.
Collaborate with production and creative teams to understand content needs and project priorities.
Develop a deep knowledge of the available assets in order to provide input and suggestions to the division during creative planning meetings.
Identify areas where content is lacking and coordinate creation of new assets.
Provide overall support as needed and assigned for department priorities.
Demonstrate understanding of the university’s mission, values, goals and priorities and an ability to ensure that all are considered in developing communications strategies.
Communicate and collaborate effectively with a wide range of audiences—including faculty, students, leadership, staff, alumni, suppliers and agencies.
Efficiently and effectively manage multiple, complex and results-oriented projects with quick turn-around requirements.
Adhere to confidentiality and business ethics; demonstrate outstanding judgment and discretion.
Work outside regular business hours as needed in order to perform job responsibilities.
Perform other relevant duties as assigned.

Bachelor’s degree or equivalent is necessary.
At least 3-5 years of experience deploying and supporting DAMs is necessary.
Advanced knowledge of DAM systems, including infrastructure, functional capability, integration capability, taxonomy and metadata is necessary.
Proficiency with user roles and permissions management is necessary.
Experience with user support and training is necessary.
Knowledge of Adobe Creative Suite including Illustrator, Photoshop, Bridge, and Acrobat is strongly preferred.
Experience with Wordpress and Salesforce integrations is strongly preferred.
Experience working with Cortex DAM from Orange Logic is preferred.
Experience with photography and graphic design is preferred.
