Vanderbilt University Assistant Director, Admissions, Blair School of Music in Nashville, Tennessee

Position Summary:

The Assistant Director of Admissions at the Blair School of Music is an integral member of the VU Blair School of Music Admissions team. Working closely with the Director of Blair Admissions, this role develops and implements recruitment strategies for the Blair School of Music students through leadership of all on-campus visitor services, attending recruitment events when assigned, and providing excellent communication and support to applicants, parents/guardians, faculty, counselors, and staff team. The Assistant Director assists with all aspects of the application, prescreening, audition process, and other duties as assigned within the team. The ideal candidate embodies a commitment to excellent customer service, a passion for working with students and families on their journey throughout the application and audition process, and knowledge of the music industry and arts education. Travel is required throughout the year, primarily during summer and fall recruitment seasons. Some evenings and weekends are required for admissions programming, as assigned.

Must have and maintain a valid driver's license and a satisfactory driving record. Vanderbilt University engages a third party to provide up-to-date notifications regarding negative changes to motor vehicle records.

Situated on Vanderbilt Campus in the heart of Nashville, TN, the Blair School of Music is a vibrant and fast-paced school at Vanderbilt University, focused on the personal and professional education of highly talented young musicians who demonstrate an exceptional capacity and motivation to shape our increasingly diverse and complex global century—through music, with music, and in music. The school has 140 full and part-time faculty members and industry professionals who teach approximately 220 music majors, 650 Blair Academy students (comprised of pre-college and adult students) and 2,000 non-music Vanderbilt majors.

Key Functions and Expected Performance:

  • Manages visitor services for prospective students & families. This includes leading Blair tours and information sessions, scheduling class and rehearsal observations for prospective families and faculty, and scheduling and processing sample lessons.

  • Partners with the Director of Blair Admissions to support applicants and faculty throughout application and prescreening process, manages inquiries and troubleshoots, reviews application materials & manages data, processes prescreening notifications, etc.

  • Manages Slate Admissions system, including updating mailings, tracking application cycles, and ensuring applications are completed and reviewed.

  • Serves as point of contact for prospective and matriculating students and visitors to ensure open lines of communication.

  • Ensures consistent, targeted communications with prospective students.

  • Partners with Director of Blair Admissions to communicate auditions scheduling with applicants and faculty, and to plan various audition weekend programming including performances, speakers, and other events.

  • Partners with the Director of Blair Admissions to process final Blair Audition data.

  • Serves on Admissions & Scholarship Committee.

  • Assists in admissions and scholarship notification process.

  • Partners with the Director of Blair Admissions on all Blair yield programming and communications until class is closed.

  • Edits Blair publications and website admissions pages (for review by Director of Blair Admissions, Associate Dean, Admissions Communications Team, and faculty).

  • Coordinates, in conjunction with the Director of Admissions, advertising/marketing appropriate to varied constituencies, including social media, print, conference advertising and participation, and other media.

  • Schedules and communicates advertisement opportunities with recruitment organizations.

  • Works with Marketing Solutions on advertising creations and manages payment.

  • Coordinates recruitment travel, in conjunction with the Director of Blair Admissions, by scheduling and registering for recruitment events, speaking engagements, and communicating with organization contacts.

  • Facilitates travel planning and off-campus recruitment events:

  • Coordinates all travel arrangements.

  • Ensures proper reservations are made for a table at events.

  • Oversees getting all needed materials to events.

  • Represents Blair, in conjunction with Director of Blair Admissions, at on-campus recruitment programming throughout year. This includes leading academic sessions and representing Blair at activities, fairs & panels throughout campus.

  • Travel is required.

  • Some evenings and weekends are required.

Supervisory Relationships

  • This position does not have supervisory responsibility. This position reports administratively and functionally to the Director of Admissions at the Blair School of Music.

Education and Certifications:

  • A Bachelor’s Degree from an accredited institution of higher education is necessary.

Experience and Skills:

  • At least two years of experience working in admissions or enrollment management in higher education is preferred.

  • Experience working in higher education and/or music, or related field, is preferred.

  • Strong technical skills, including use of email, Word, spreadsheets, and databases, and the willingness to learn new systems and process updates when applicable is necessary.

  • Excellent oral and written communication skills; well-developed organizational skills and attention to detail are necessary.

  • Respect and ease working with people of various backgrounds, belief systems, and orientations is necessary.

  • Interest and commitment to collaboration within teams is necessary.

  • Ability and commitment to handling sensitive and confidential data appropriately, accurately and respectfully is necessary.

  • Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community is necessary.

  • Ability to make administrative/procedural decisions and judgments is necessary.

  • Ability to perform complex tasks and to prioritize multiple projects is necessary.

  • Excellent ability to organize and coordinate is necessary.

  • Ability to provide advice and information to staff in area of expertise is necessary.

  • Ability to travel is necessary.

  • Ability to work evenings and weekends, as necessary, for admissions programming is necessary.

  • Knowledge and experience using Slate is preferred.
