Job Summary:
We are looking for a dynamic, administrative assistant to join our team supporting Real Estate Sales Professionals at our Naperville office at 836 W. 75th Street, Naperville, IL 60565.
This is a full-time, on-site position with expected hours M-F 8:30am-5pm (not a remote position).
Essential Duties & Responsibilities:
Maintain paperless files with dot loop for all transactions through close.
Obtain missing information as required and follow through with all parties
Compile packets, recruiting, listing, buyer and rental, and maintain online file flow and marketing materials
Answer phones.
Open and distribute courier items.
Distribute and prepare incoming and outgoing mail.
General office support functions including greeting customers and maintaining office appearance, opening and closing.
Pull reports as directed by sales manager, staff and agents
Process and monitor marketing agreements from inception to close.
Process buyer rep agreements.
Data entry.
IT/Tech support
Responsible for office’s social media presence
Requirements:
Real estate knowledge is a plus
Strong written and verbal communication skills
Ability to multi-task & prioritize
Strong computer skills - including Google platform and Microsoft Office
Social media savvy (FB, Twitter, Instagram, Pinterest, etc.)
Responsible for Office’s Social media presence
Assist Agents as needed with social media questions
Attention to detail
Ability to work independently and with a team
Professional appearance
Proactive
Skills & Experience:
High school diploma or equivalent required.
Previous real estate experience preferred
Administrative assistant experience preferred.
