Hub International Receptionist in Napa, California

Primary Duties

  • Lead the phone team by answering the main line incoming calls, on the 1st ring when possible.

  • Complete and/or update all daily activities/tasks assigned on a daily basis.

  • Complete special administrative and office projects as needed.

  • Opening, date stamp and scan mail and incoming checks to the appropriate folder. Once checks have been stamped you are responsible to personally give to appropriate PHP accountant for processing.

  • Prepare all outgoing mail including overnights and priority mail.

  • Keep track of incoming Fed Ex, UPS deliveries and scan and distribute accordingly as instructed in reception procedures.

  • Monitor inventory and the ordering of office supplies, kitchen supplies, toiletries, and special printer supplies to ensure we do not run out.

  • Assist with coordinating and communicating with visitors, maintenance companies, building vendors and property manager per Managements request.

  • Assure at all times PHP is presented in the utmost professional manner to insurers, managing general agents, customers, vendors and the community.

  • Maintain confidentiality regarding any employee, customer or agency information.

  • To learn PHP procedures and to adhere to those at all times.

Job Requirements:

  • Knowledgeable in Microsoft office products (Outlook, Word, Excel, PowerPoint)

  • Must be able to have good judgement to make informative decisions when considering handling escalated and urgent matters, etc.

  • Strong oral & written communication skills

  • Adhere to employee manual including confidentiality requirements

  • Comply with Carrier partner(s) service practices & procedures

  • Provide additional support to Department Manager on special tasks/projects as needed

  • To process all Urgent tasks within two hours of receipt, by the end of business at the very least

  • To Treat all employee's with respect and courtesy in all business and personal matters

Desired Schedule: Monday – Friday; 7am – 4pm

Disclosure required under applicable state or municipality regulations: The expected salary range for this position is $22 - $23 an hour and will be impacted by factors such as the successful candidate’s skills, experience and working location, as well as the specific position’s business line, scope and level.
