In this key role, the coordinator reports directly to the Operations & Logistics Manager and interacts with our clients while working to support the needs of the various groups that manage and lead the Facility. This position performs the full cycle of the customer service function. They also compile supporting documentation for accounting, invoice distribution, customer queries, and collections. The position will also perform reception duties including fielding and directing inbound scheduling calls/inquiries, occasionally receiving guests, managing customer mail distribution, filing, and providing administrative support. Responsibilities: Client communications and supporting client requests. Maintain incoming Customer Schedule, setting up runs for our drivers and outsourcing drivers when needed as well for all our customers' needs. Working within NetSuite, responsible for new customer set-up, MCF document requests, sales order entry, and maintaining pricing by working along-side of the Sales Representatives, Customer Care Representatives & Profiling Team. Maintain Facility Scheduling Calendars & make sure schedule is correct, not overloaded or if it is light, communicate to Supervisor as needed. Working with contractor/customer drivers with paperwork swapping & communication. Sole responsible for inbounding & out-bounding of flip loads to include billing and filing paperwork. Create drivers work order documents, manifests & labels & also input into electronic system via Service Pro. Communicate with the Operations & Logistics Manager, Operations Supervisor and others regarding customer service issues as well as regarding request for credit or partial credit of invoices due to quoted rates, billing discrepancies, QA/QC, or errors of omission. Track daily volume(s) & Sales Order totals, received and provide daily, weekly, and monthly totals to the team, upon request. Store all necessary reports, documents and excel spreadsheets on NetSuite, OneDrive and share access with internal customers. Includes reports related to Transportation Compliance, Environmental Compliance, Health & Safety and other support areas as needed. Other duties include managing outgoing mail to customers as needed, filing, faxing, ordering supplies (including but not limited to chemicals, materials, etc.), inputting Purchase Orders, back-up for inbound & outbound of facility materials and providing administrative support to the Operations & logistics Manager & Operations Supervisor. Requirements: High school diploma or GED (General Education Degree) Associated degree preferred Proficient in Microsoft Office, specifically Outlook, Word, and Excel Minimum of 2 years' experience in office management and/or administrative roles Excellent written and verbal communication skills Experience creating spreadsheets and generating reports Ability to multitask and prioritize Self-starter with strong problem-solving skills
