Summary The Lead MSAs provide vital coverage to various wards throughout TVHS in the event of calls out and short staffing. The Lead MSA acts as a point person for training, questions, service level advocacy and much more all while assisting the chief of ward administration. This Lead MSA position is the Lead for the Murfreesboro Campus day shift which is responsible for all admission, discharges, transfers, answering calls and assisting Veterans and their families during the day. Responsibilities The Lead MSA monitors and makes work assignments, provides input on performance, resolves daily workplace issues, and maintains efficient workflow. Assignments at this level include, but are not limited to: assuring coverage of all areas of responsibility; conducting ongoing reviews to ensure quality of work; ensuring accurate and timely scheduling of appointments, patient movements and administrative inpatient administrative duties; providing guidance to staff members to include changes in policies and procedures; distributing and balancing workload; creating and maintaining employee work schedules; orienting and providing on-the-job training for new and current employees; ensuring all training requirements are met; organizing the work structure of his/her assigned areas; and acting as liaison between MSA and staff in order to resolve day to day conflicts. For all assignments above the full performance level, the higher-level duties must consist of significant scope, administrative independence, complexity (difficulty) and range of variety as described in this standard at the specified grade level and be performed by the incumbent(s) at least 25% of the time. The Lead MSA works collaboratively in an interdisciplinary coordinated care delivery model on the inpatient wards and performs all related duties; customer service and other duties assigned for the proper and timely treatment of patients and assure inpatient wards are properly covered and administrative support duties are completed timely. He/she must follow contingency plans by adjusting schedules and put into effect they use of paper records and orders. Assures front line contact with patients and staff by setting the tone for perception concerning quality of healthcare services at the VA. A high degree of tact and diplomacy is required when dealing with veterans who have multiple health problems and who may be frustrated with the administrative process associated with diagnosis and treatment. A caring, compassionate, and sensitive manner is essential when explaining procedures to veterans and their family members both in person and on the phone. When records are received, the incumbent(s) will ensure that all necessary health/administrative information are integrated into Computerized Patient Record System (CPRS) by sending the documents to the appropriate department for scanning. Incumbent(s) must be able to train staff on the requirements of Patient Movements utilizing VISTA, Processing orders from CPRS, VHA Scheduling Directives and complete accurate scheduling responsibilities: - Notifies his/her supervisor when problems occur on the inpatient wards such as; low staffing levels, process failures, administrative errors and customer service issues. - Pulls reports to ensure the MSA's are completing their workload. The Lead MSA may be asked to participate in the daily Ward Administration team huddles and monthly team meetings where administrative planning and management occur. Incumbent(s) will rotate this to assure all MSA staff is in attendance and understands the process. Candidates must be able to demonstrate all of the KSAs below: Advanced knowledge of medical terminology and a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or community resources. Ability to utilize numerous advanced patient systems in support of multiple clinics in an interdisciplinary setting. Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines. Skill in communicating with individuals to obtain the desired effect and coordinating with a variety of interdisciplinary care team staff. Ability to provide staff development and training. Ability to manage staffing requirements, manage workflow priorities, and adjust the flow of work to meet team and patient needs. This includes the ability to follow-up on pending issues and demonstrate an understanding of the impact of incomplete work across multiple clinics. Physical Requirements: Typically, the Lead Medical Support Assistant must be able to operate a computer terminal and be able to manage multiple activities at one time. The LEAD MSA monitors and makes work assignments, provides input on performance, resolves daily workplace issues and maintains efficient workflow. Work is generally sedentary; however, there may be some walking, standing, bending, and carrying of light items. Work Environment: The work may be stressful due to the accelerated pace for several hours at a time during peak clinic hours or on days that have a large volume of clinic activity.
