This is a hybrid role with a mix of in-office and remote work. Work arrangements will be discussed with hiring managers per departmental guidelines.
Summary:
Unique opportunity to join a dynamic team dedicated to creating a positive environment within the Technology & Infrastructure (T&I) business unit. The Executive Assistant and Business Administrator plays a vital role in supporting the Senior Director and the Transformation, People and Engagement (T, P&E) team. This position requires a highly organized, proactive, and collaborative individual with excellent communication skills and a passion for contributing to a positive team atmosphere. The successful candidate will act as the Senior Director's right hand, managing administrative tasks, coordinating events, crafting communications, and contributing to the tactical planning of team activities. This role offers a unique opportunity to gain insight into the strategic planning of all of T&I and contribute to business success.
Key Responsibilities:
Executive Support: Provide comprehensive administrative support to the Senior Director, including calendar management, travel arrangements, expense reporting, and handling confidential information with discretion.
Team Coordination: Work closely with the other assistant on the team and in collaboration with the VP's assistant to ensure seamless coordination and efficient workflow across the department.
Event Collaboration: Collaborate with the team on the planning, coordination, and logistical support of team events (e.g., job fairs, strategic meetings, internal events).
Communications: Draft and review communication materials, ensuring accuracy and clarity in both English and French. This includes presentations, reports, emails, and other documents.
Tactical Planning Support: Contribute to the development and execution of the team's tactical plan, including assisting with scheduling, tracking progress, and coordinating activities.
Process Improvement (Workflow Focus): Identify opportunities to streamline and improve administrative workflows within the scope of supporting the Senior Director and the team.
Relationship Management: Build and maintain strong working relationships with internal and external stakeholders.
Qualifications:
Post-secondary education in a related field is an asset.
3-5 years of experience providing administrative support to an executive, preferably in a fast-paced environment.
Bilingualism (English and French) with excellent written and verbal communication skills in both languages.
Exceptional organizational skills and the ability to manage multiple priorities and deadlines.
Demonstrated ability to work independently, take initiative, and proactively solve problems.
Strong interpersonal skills and a collaborative team spirit.
Proficiency in relevant software/tools (e.g., Google Suite, Microsoft Office)
Experience with these business applications an asset (SAP, Concur, Workday, Monday.com).
Knowledge of CBC/Radio-Canada’s mandate, policies, and procedures is an asset.
