Job Summary
As an Administrative Assistant at Bechtel Plant Machinery, Inc., you will provide routine administrative/secretarial support to a group of manager(s)/professionals.
Essential Duties:
- Format, correct grammar, punctuation and spelling, proofread, copy, fax, file and distribute internal and external correspondence, weekly staff notes, reports, internal documents, customer/vendor letters, trip reports, etc.
- Make travel reservations, complete, and process trip expense reports.
- Schedule meetings; prepare agenda and presentations, make room reservations, organize the provision of necessary equipment for the meeting and/or refreshments, if needed. Process requests for entry of visitors.
- Maintain databases; retrieve and input documents on electronic filing systems.
- Prepare data, send, retrieve, track, create and maintain reports on data going into and out of federal and company record retention centers.
- Input, track, run status reports, and monitor internal, external and customer commitments and obligations, (i.e., trouble records, purchasing back-ups, etc.) using internal software packages.
- Perform routine clerical functions: answer and prioritize phone calls, sort and distribute mail, maintain supplies, set up and maintain files.
- Perform special projects and other clerical duties as assigned.

Minimum Job Requirements:
- Associates Degree in Office Administration, Business Management, or Administrative Information Technology preferred with consideration given for equivalent certificate program.
- Extensive experience with some formal education in business or computers, with demonstrated technical skills.
- Requires a security clearance; however, all qualified candidates will be considered regardless of their current clearance status. The ability to obtain and maintain a Department of Energy security clearance is required.

- Oral communication skills including proper telephone etiquette.
- Working knowledge of personal computer and peripheral devices (e.g., printers, scanners, etc.).
- Knowledge and ability to use Windows and Microsoft Office software packages (e.g., Word, Access, Excel, PowerPoint, and Outlook) and administrative diagramming/charting packages (e.g., Visio).
- Ability to create and maintain Websites.
- Knowledge of grammar, writing, documenting, and formatting letters and reports.
- Ability to follow oral and written instructions and direction.
- Must demonstrate proficient keyboarding skills.
