JOB TITLE: Customer Service Representative

DEPARTMENT: Mishawaka Utilities - Business Office

SALARY: $1,920.02 Bi-Weekly

HOURS: 8:00am - 5:00pm

DEFINITION

Assist the public, in person and on the telephone, who have special problems. Must use independent judgement to solve problems associated with billing, shut off and pay agreements. Reports to and accepts assignments from the Business Office Manager.

Mishawaka Utilities Business Office, 100 Lincolnway W, Mishawaka, IN 46544.

PHYSICAL REQUIREMENTS

Must be able to sit for long periods of time. Must be able to stand, stoop, reach kneel and climb stairs. Must be able to get up and down continually all day. Must have ability to speak clearly, hear, and see adequately. Must be able to maintain working speed to handle large number of customers and volume of work. Must have ability to remain calm and polite under pressure from public. Must be able to operate equipment listed in C.

ENVIRONMENTAL/WORKING CONDITIONS

Normal working office conditions. Must be able to work alone and with fellow employees in performance of duties inside business office.

ESSENTIAL FUNCTION OF THE JOB

Work along to answer inquiries requiring knowledge of departmental rules and regulations; compile information for inclusion in correspondence, records and reports; solve problem accounts and correct errors; compose and type correspondence, records and reports; prepare work orders and receive and record service requests and complaints. Determine deposits for businesses and set new service for business accounts. Set new service via website and in lobby for customers and prepare applications with correct information needed. Help in lobby with all services when needed.

ADDITIONAL EXAMPLES OF WORK PERFORMED

Collection work on delinquent accounts and final bills. Send letters to customers prior to collection by outside agencies. Prepare summary of accounts to be sent to collection agency and handle payment report determining percentage. Understand our procedures for Energy Assistance and other voucher programs that go on during the summer and winter months. Accounts receivable, which includes invoicing and receipt in payments. Issue permits along with tracking and refunding of deposit. File claims (for refund checks and fee payments). File accident claims with insurance companies. Process and record bankruptcies. track unmetered water for construction and provide outstanding sewage information to Title companies when needed. Handle the return of NSFs and water shut-offs on delinquent accounts. Filing liens on outstanding wastewater service that has been left unpaid. This means processing monthly letters and filing liens to outstanding balances unpaid through simplifile software with the St. Joseph County. Any miscellaneous letters that need to go out to customers.

REQUIRED KNOWLEDGE AND ABILITIES

Must have ability to deal with customers, employees and the general public in a courteous manner. Must have sufficient knowledge and dexterity to use equipment listed in C. Must have experience with a computer, software programs, printers in order to understand job functions. Must have experience in Microsoft Excel and Word. Must have knowledge of departmental practices and procedures and Utility rules and regulations.

QUALIFICATIONS

  1. Must have a high school diploma or equivalent GED
  2. Experience with computer and software skills
  3. Must possess reasonable knowledge of modern office practices and procedures.
  4. Must possess and maintain speed, skill and accuracy in performing various clerical and computer tasks.
  5. Ability to operate a calculator
  6. Must pass a pre-employment drug screen
  7. Must adhere to the City of Mishawaka Drug and Alcohol Free Policy
  8. Must sign and adhere to the Utilities Confidentiality Statement
