JOB TITLE: CPC Clerk C

DEPARTMENT: Mishawaka Utilities - Business Office

SALARY: $20.22 per hour

HOURS: 8:00am - 5:00pm

DEFINITION

Will have public contact with customers, either over the phone, or those who come to the business office for payments, service requests or information. Process written applications, terminations, or changes on customer accounts. Perform record keeping activities, which involve receiving funds and issuing receipts to customers. Must use independent judgement when dealing with the public, solving problems associated with balancing correcting errors, managing the fluctuations in the daily workload, and solving problems related to customer accounts. Reports to Office Manager.

PHYSICAL REQUIREMENTS

Must be able to get up and down continually all day or must be able to remain seated for long periods of time. Must be able to stand, stoop, reach, kneel, and bend to perform duties. Must be able to climb stairs up and down. Must have ability to speak clearly, hear and see adequately. Must have ability to remain calm and polite under pressure from the public. Must have ability to get along well with fellow employees. Must be able to maintain working speed to handle large amounts of customers, incoming phone calls and volume of work. Must have ability to maintain accuracy under pressure.

ENVIRONMENTAL/WORKING CONDITIONS

Must be able to work alone and with fellow employees in performance of duties inside the business office. Must be able to work with noise created by office equipment.

ESSENTIAL FUNCTIONS OF THE JOB

Assist the public at the counter or over the telephone, pertaining to customer accounts and problems. Open, close and transfer utility accounts, both in person and through our website. Prepare paperwork and contracts for processing by data entry. Schedule water meter installations and make appointments to get inside readings. Receive and record fees collected through mail or over the counter. Examine records and reports for errors. Check credit rating and identity check on SS# for new customer accounts and mail credit references. Prepare payment plans on computer. Process delinquent account cut off lists daily. Call customers prior to cut off list. Request rereads to determine errors on customer accounts. Collect funds received from general public through the night drop, mail, and in person. Count and balance cash receipts, prepare bank deposit and prepare financial reports and summary statements. Prepare totals for data processing. Process invoices from Customer Service area. Must have the ability to accurately process large number of transactions daily and assist in opening mail. Scan any documents needed to account for research capabilities. Contact customers when needed to avoid disconnection.

ADDITIONAL EXAMPLES OF WORK PERFORMED

May be required to make duplicate bills for customers, file office records and assist all office employees where needed.

REQUIRED KNOWLEDGE AND ABILITIES

Must have ability to deal with customers, the general public and fellow employees in a courteous and tactful manner. Must have sufficient knowledge and dexterity to use equipment listed in C. Verbal communication skills must be above average. Must have thorough knowledge of departmental practices and procedures. Must have reasonable knowledge of bookkeeping, speed and accuracy in balancing and the ability to make mathematical computations quickly and accurately. Must be neat in organizing work and preparing records. Requires the flexibility to ove between cash receipts, phone, and counter throughout the workday on short notice. Also requires frequent and short notice of changes to lunch and break schedules to cover office positions.

QUALIFICATIONS

  1. Must possess a high school diploma or equivalent GED.
  2. Must possess a reasonable knowledge of modern office practices and procedures and equipment.
  3. Must possess speed, skill, and accuracy in the performance of job.
  4. Must be proficient in use of cash register and calculator.
  5. Must be proficient in using word and excel.
  6. Must be proficient in use of multi-phone lines.
  7. Must have completed training in all three customer service categories and received a favorable review after 2,080 hours of service.
  8. Must have and maintain a high level of speed and accuracy in performance of job.
  9. Must pass a pre-employment drug screen.
  10. Must adhere to City of Mishawaka Drug and Alcohol-Free Policy.
