Robert Half Office Assistant in Minnetonka, Minnesota

Description

We are offering a short term contract employment opportunity for an Office Assistant in a growing organization. This position will be a 2-week coverage with potential for extending. As an Office Assistant, you will be integral in ensuring smooth operations within our office environment, and you will be handling a variety of tasks that aid our staff and assist our clients. Responsibilities:

  • Handle customer inquiries effectively, providing quality customer service at all times.

  • Perform general office functions, including managing correspondence and maintaining office organization.

  • Utilize Microsoft Office Suites, including Word, Excel, and Outlook, for various tasks.

  • Perform clerical duties as required, ensuring all administrative tasks are completed in a timely manner.

  • Greeting and directing visitors to the correct point of contact.

  • Coordinate and execute in-house events, managing the arrangement and preparation of conference rooms, as well as handling the ordering and set-up of meals and making reservations when requested.

  • Communicate with the building manager to coordinate cleaning and maintenance.

  • Handle incoming and outgoing correspondence such as opening and distributing mail and handling deliveries.

  • Place orders and maintain office supply inventory including ordering snacks, beverages, office supplies, and own all maintenance schedules and vendor relationships.

  • Working with vendors to accommodate deliveries.

  • Organize receipts and provide them to the finance department.

  • Collaborate with local HR and local leadership in planning and executing any ongoing or one-time project needs as needed.

  • General office clerical support and other ad-hoc duties as needed.

    Requirements

  • Proficiency in the Microsoft Office Suite

  • Knowledge of office functions and clerical duties

  • Excellent customer service skills

  • Ability to manage correspondence effectively

  • Strong organizational and multitasking abilities

  • Attention to detail and problem-solving skills

  • Excellent written and verbal communication skills
