The Vaccine Clinic Manager (VCM) is responsible for maintaining a high-level overview and picture of clinic operations throughout the clinic duration. This includes assuring vaccine management practices are in place and implemented; and working with the medical lead to ascertain registration, no-show, and walk-in levels to balance amount of vaccine being readied to use. The VCM monitors the Community Engagement Lead, Interpreters, and Volunteers to make sure COVID-19 safe practices are being implemented and, if necessary, adapted to changing clinic conditions. Reports to vaccination clinic site 1 hours prior to start of clinic. Experience: Ideally, this person has some base-level knowledge of how vaccinations clinics operate, including knowledge of different stations and clinic. Demonstrated effective communication, management, and organizational skills and experience. Ability to work well on a team and under pressure, and ability to effectively delegate. Capacity and authority to make sound and rapid decisions. Recognizes when consultation with Group Leader is necessary for decision-making. Familiarity with ADA requirements: Review the Minnesota Department of Health (MDH) Accessibility Checklist for COVID-19 Testing and Vaccination Sites prior to arrival or upon arrival: Key Duties: Provide oversight, direction, and management of operations for all non-clinical functions of MDH-sponsored Community Vaccine Sites. Field questions from media or refer requests to MDH Communications Office. Pre-clinic Be familiar with the assigned location for the vaccination site and in partnership with Logistics Team, ensure that it is operationally appropriate (Wi-Fi), accessible, safe, and welcoming for participants. Day of Clinic: 1 hour prior to start of clinic. Work with Medical Lead and Site Set-up Team to ensure site layout and flow optimize efficiency and safety. Ensure supplies, staff, and volunteers are in place for the assigned vaccination site. Introduce yourself the site host or host organization, discuss clinic flow, volunteers available, and offer an orientation for volunteers. 1 hour prior to clinic start. Ensure all non-clinical staff and volunteers have signed in and have been oriented to the site and understand their assigned positions roles and responsibilities. Work collaboratively with Logistics Lead (if there is one) and Medical Lead. Ensure all high touch participant areas are properly cleaned. Discuss who will be doing this during the clinic orientation. Check-in interpreters requested through MDH, who will be asked to report to VCM, and orient them to the clinic. Could delegate this orientation to the Community Engagement Lead. During Clinic Consult regularly with the Medical Lead on registration, no shows, walk-ins, and vaccine management, and vaccine availability. Provide regular updates during the clinic to the MDH Community Vaccination Leadership Team. Report any injuries to the Medical Lead, MDH Community Vaccination Leadership Team, and/or identified leadership. Checking on if there is an injury report form that needs to be completed. End of Clinic Oversee and direct site demobilization. Ensure that all MDH supplies have been packed and loaded. Gather together staff and volunteers for a 15-minute Reflection and Feedback session to review what worked, what didn t work, and what could be improved at future linics. Submit 2-3 stories (more are welcome) about people/events at the clinic to help illustrate how the clinic helped make vaccine accessible. Throughout the clinic Ensure you and all staff and participants properly don and wear PPE during all onsite activities. Ensure you and all staff and participants have been issued and properly wears a mask. Review Safety Considerations.
