Sherman Associates, Inc. Property Administrative Assistant - Riverside Plaza (Minneapolis) Part- time in Minneapolis, Minnesota

We are looking for an administrative assistant to join our team at Riverside Plaza. This role is responsible for supporting both new and current residents! Experience with HUD and Minnesota Housing compliance is strongly preferred.

Work Location: Riverside Plaza, 1525 S 4th St., Minneapolis, MN 55454

ESSENTIAL FUNCTIONS

  • Welcoming visitors and company personnel by greeting them in person or on the telephone.

  • Answering and transferring telephone calls in a prompt, courteous and professional manner.

  • Providing callers and visitors with information to answer questions and resolve concerns.

  • Maintaining a high standard of business etiquette while interacting on the telephone and in person.

  • Receiving and sorting mail. Taking outgoing mail to mailbox when necessary.

  • Completing rental reference for various agencies.

  • Completing shelter verification forms for residents and faxing the information requested to agencies.

  • Monitoring and distributing incoming faxes.

  • Collecting payments.

  • Collecting rental payments and correspondence from rental drop boxes as needed.

  • Supporting property staff to meet project deadlines.

  • Coordinate property events, meetings and social gatherings.

  • Copying and scanning documents.

  • Maintaining a professional appearing reception area.

  • Assist with checking out keys, other Tenant requests, move in procedures and follow up with the Resident/Tenant.

  • Assist with Resident/Tenant move in/out scheduling inspection and follow up to close out files as needed.

  • Deliver memos or other information to Residents/Tenants as needed.

  • Late notices/UD Filing document preparation as needed.

  • Other tasks & duties as assigned based on business need.

Required Experience:

MINIMUM REQUIREMENTS

  • 2-4 years previous receptionist and/or administrative assistant experience required; experience in leasing / property management preferred.

  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.

  • Type 55 wpm with minimal errors.

  • Strong work ethic and positive attitude.

  • Ability to work independently; to prioritize and manage multiple tasks.

  • Experience with diverse communities, including tenants limited English proficiency.

  • Detail-oriented, with strong organizational, problem-solving and administrative skills.

  • Willing to learn and be open to suggestions/ideas to improve productivity and efficiency.

  • Committed to providing superior work product.

  • Have excellent written and verbal communication skills.

  • Ability to exercise judgment and suggest creative approaches to new issues.

  • Possesses initiative and thrives in a fast-paced work environment.

  • Is team-oriented and flexible in assuming new responsibilities as they arise.

  • Office hours may vary due to the specific needs of the portfolio.

EDUCATION

  • High School Diploma or GED strongly preferred.

  • Post-secondary coursework in property management, business, real estate or equivalent experience preferred.

WORK ENVIRONMENT

  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

  • Exposed to ambient room temperatures, lighting and traditional office equipment found in a typical office environment; quiet to moderate noise level.

PHYSICAL REQUIREMENTS

  • Occasional lifting and/or moving up to 25 pounds.

  • Occasionally required to walk; sit; use hands and fingers to handle or feel objects, tools or controls; reach with hands and arms; stoop; talk and hear.

  • Specific vision abilities required by the job includes close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
