Job Duties General Office Duties Monitor inventory of office supplies and restock as appropriate Coordinate building maintenance and repairs with the property manager Welcome guests and direct delivery personnel Field incoming phone calls for main office line Assist with travel planning and dining arrangements Update intranet pages as directed by department leaders Ensure orderly appearance of common areas and conference rooms Assist in the planning and coordination of office events Provide clerical support for special projects Other administrative duties as assigned HR Support Assist with new employee onboarding Prepare new hire welcome packet and arrange for delivery to employee Order name plates, badges and business cards as needed Publish internal welcome announcement Update employee directories Legal and Compliance Support Track state filing deadlines and monitor state filing notices for legal entities Assist with preparation of annual reports and similar state filings for legal entities Maintain and update contract systems Distribute new contracts and amendments to internal and external stakeholders Enter contract data in centralized contract tracking system Maintain various spreadsheets used to track and monitor contracts Run various contract reports Operations and Inventory Support Upload surgeon preference forms to the intranet Track and reconcile daily service paperwork Compile and distribute monthly sales report Coordinate meetings for operations team Accounting Support Assist with the administration of the corporate credit card program Request credit cards for new hires and cancel credit cards as directed by human resources Assist cardholders with adjusting credit card limits, and reporting and replacing lost, stolen or compromised corporate cards Field questions from employees Train new hires on expense reporting system and policy Assist accounting team in researching and resolving cardholder issues Update expense report approver rights when needed Requirements High school diploma or equivalent At least 1 year of administrative experience Working knowledge of salesforce.com software is preferred Proficiency with MS Word, Outlook and Excel Exceptional organizational skills Strong communication and interpersonal skills Attention to detail Flexibility to adjust priorities as business needs dictate Ability to maintain confidentiality Ability to work with minimal supervision SIGHTPATH is an equal opportunity employer.
