Values: Equity, collaboration, agility, and transparency PRIMARY PURPOSE OF YOUR ROLE The Manager, Portfolio Development Specialists leads our development specialists supporting portfolio-based fundraising strategies for both institutional and individual personally managed portfolios. This key role reports to the Sr. Director of Advancement Strategy and represents the needs of the portfolio-based fundraising to partners in finance, marketing and communications, data strategies and campaign operations and information technologies. You will be able to measure the success of your role in the growth and development of your team members, the satisfaction of your advancement fundraising partners, and in the clarity you create in our supportive development operations work. ROLE ACCOUNTABILITIES People Leadership (30%) Act as coach to a team of Development Specialists supporting both the institutional and individual fundraising teams, providing oversight of daily responsibilities, timely feedback on job performance, and support career development Build strong, people-centered relationships with Development Specialists, using an asset-based mindset to leverage the unique strengths and abilities of your team members Evaluate team workload and assign team resources to meet collectively identified needs for our donors, balancing capacity and ability across the team Manage time-off requests, staff coverage during vacations/holidays, ongoing goal progress, annual performance reviews, salary increase recommendations Provide hands-on training and development for all development specialist activities Promote a culture of curiosity, approachability, and collaboration within the team Participate in the Advancement Strategy leadership team, collectively developing team culture, collaborating on larger projects, and supporting the broader work of advancement strategy Development Operations Support (30%) Scope and serve as project manager for more complex projects development specialist projects Maintain awareness of needed office supplies, including postage, envelopes, letterhead, mailing labels, branded printed materials, promotional items, etc. and order replacements in a timely fashion Monitor dedicated Tocqueville inbox, and receive calls on the dedicated Tocqueville phone line Support fundraiser training on processes and basic database usage Maintain working knowledge of the digital location of various documents related to remittance and fundrasing Provide onsite support at donor engagement events and committee meetings as required During high-volume times, and to support vacation coverage, perform the following: Monitor remittance inbox and process incoming gifts Perform printing and mailing tasks for thank you letters, solicitations, event invitations and cultivation pieces during appropriate times of year, or as requested by fundraisers Follow up on documentation for donor gifts, support fundraiser inquiries on pledges and payments Update / confirm donor informati n in our database Process Documentation and Evaluation (20%) Maintain, develop and update the library of processes and procedures for development specialist support, including remittance, personalized acknowledgement letters, maintenance of special donor groups (committee memberships, special recognition groups) Document, or assign team resources, to document processes Use knowledge-management best-practices to store process documentation and related materials Evaluate process documentation for existing processes, recommend process improvements, and maintain updated documentation Collaborate with stakeholders across the organization to develop and document new processes, placing high value on collaboration and collecting stakeholder input Optimize processes both for the people involved (those doing the work), and for those that will benefit from the work (internal collaborators and our donors) Database Integrity and Use (20%) - Ensure data entered into our internal databases for donor management is accurate Use reporting and dashboards to audit donor information in our system Pull basic reports to answer fundraiser questions, and serve as a liaison to other areas of Advancement Strategy for more complicated requests Develop knowledge of and support team knowledge of preferred data entry practices Qualifications COMPETENCIES THAT SUPPORT YOUR WORK Strong organizational and analytical skills with ability to initiate, analyze, monitor, evaluate and advance strategic operational plans that support the organization's mission and contribute to the overall goals and objectives of the fundraising program Excellent interpersonal skills: demonstrated track record of collaboration, partnering and consensus building skills; ability to influence and reconcile varying points of view Ability to identify and assess process opportunities and gaps and provide recommendations for continuous improvement, as well as streamline processes and maximize organizational operating efficiencies Detail-oriented, outcomes-focused approach Strong people-centered orientation People leadership experience, or ability to develop people-leadership competencies Commitment to balancing quality of work with agility and collaboration Knowledge of the utilization of information systems to support fundraising activities, including strong computer skills (Excel, customer relationship management database - Salesforce/ANDAR preferred);
