Overview: The Manger, Executive Support will provide high-quality administrative support to senior executives and manage and develop a team of Executive Assistants. This incumbent will manage mostly business-related tasks for the team such as creating reports, organizing travel and accommodation, taking minutes, and other organizational tasks. Duties and Responsibilities: Lead, supervise, and manage the capacity of a team of Executive Assistants, regularly meet with direct reports and the entire team to share best practices and discuss workload, provide coaching and mentorship, approve PTO and timesheets, complete performance evaluations, and focus on the team's professional development; Proactively ensure smooth team operations and effective collaboration; Maintain employee work schedules including assignments, onboarding, training, vacation coverage, telecommuting and overtime scheduling; Accomplishes staff results of communicating job expectations, planning, monitoring and appraising job results, coaching, counseling and disciplining employees, developing, coordinating and enforcing systems, policies, procedures and productivity standards; Partner with Executives on meeting planning and execution for company-wide events, including venue selection, contract negotiation, vendor management, and onsite support; Manage the calendars of the senior level executives through the use of Microsoft Outlook, proactively resolve calendar conflicts, and schedule both internally and externally facing meetings efficiently; Prepare and submit expense reports and reconciles credit card statements for processing and reimbursement in Concur; Make all travel arrangements, including air, ground transportation and hotel, and produce detailed travel itineraries for individual and group travel; Provide a high level of customer service to the senior leadership through executing a variety of tasks including but not limited to: filing, scanning, and printing documents, handling email correspondence, updating charts in Microsoft PowerPoint and Excel, creating and updating reports, picking up lunches, ordering special supplies, retrieving and responding to voicemail, etc.; Composes and prepares memos, letters and other correspondence from rough drafts; formats documents, proofreads and verifies documents for accuracy; Finalizes correspondence for signature and distribution as appropriate; Handles logistics for internal and external meetings, including reserving conference rooms, arranging flip charts, printing and preparing meeting materials, ordering catering, greeting guests, etc.; Assists with preparation and submission of client invoices and related reports through financial software; Assists in providing telephone and front desk coverage to the Front Desk Coordinator; and Other duties as assigned; Maintain compliance with Inovalon's policies, procedures and mission statement; Adhere to all confidentiality and HIPAA requirements as outlined within Inovalon's Operating Policies and Procedures in all ways and at all times with respect to any aspect of the data handled or services rendered in the undertaking of the position; Fulfill those responsibilities and/or duties that may be reasonably provided by Inovalon for the purpose of achieving operational and financial succe s of the Company; Uphold responsibilities relative to the separation of duties for applicable processes and procedures within your job function; and We reserve the right to change this job description from time to time as business needs dictate and will provide notice of such. Job Requirements: Minimum 10+ years of executive level experience; Superlative written and verbal communication skills; Able to delegate responsibilities; Detail-oriented and solution-focused; Strong willingness to learn new technology; Sound judgment and a high level of discretion and confidentiality; Desire for excellence in execution of even the smallest task; Proven customer service skills; High level of responsiveness and initiative; A high degree of mental flexibility and self-motivation; Organized and strong prioritization skills; Must work well independently and within in a team with minimal oversight; Expert user of the Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint; Must have a basic interest in the US Healthcare System; Proficiency in Concur, Deltek Vision, and/or SalesForce is a plus; and Previous supervisory experience is a plus. Education: Associate degree or bachelor's degree, or appropriate experience. Physical Demands and Work Environment: Sedentary work (i.e. sitting for long periods of time); Exerting up to 10 pounds of force occasionally and/or negligible amount of force; Frequently or constantly to lift, carry push, pull or otherwise move objects and repetitive motions; Subject to inside environmental conditions; and Travel for this position will include less than 5% locally usually for training purposes. The actual base pay offered may vary depending on multiple factors including, but not limited to, job-related knowledge/skills, experience, business needs, geographical location, and internal equity. At Inovalon, it is not typical for an individual to be hired at or near the top end of the range for their role, and compensation decisions are dependent upon the facts and circumstances of each position and candidate.
