We're seeking a skilled individual to provide top-notch customer service to our internal clients, ensuring their needs are not just met, but exceeded, with precision and promptness. Responsibilities: Provide exceptional customer service to internal clients, ensuring timely and high-quality execution of requests. Prepare, review, and manage various corporate and project documents, including letters, proposals, reports, and presentations. Assist with meeting preparations, from coordinating travel arrangements to setting up rooms and conference calls. Monitor and manage the administrative ticketing process to prioritize and complete incoming projects efficiently. Maintain organization and upkeep of project documentation and files, ensuring easy access for team members. Utilize document management skills, including familiarity with ProjectWise, to enhance workflow effectiveness. Coordinate with vendors as needed for service requests, demonstrating strong communication and negotiation skills. Support reception and production duties, including handling mail and assisting with mass mailings. Ensure office supplies and facilities are well-maintained and readily available for daily use. Keep office work areas clean and organized, contributing to a productive and professional environment. Implement and administer departmental office systems and procedures to streamline operations. Purchase, maintain, and stock office and break room supplies as required, optimizing resource management. Manage printer and postage logs, sending necessary documentation to accounting for record-keeping. Print and bind documents, proposals, and materials, maintaining a high standard of presentation. Perform additional duties as required, demonstrating flexibility and willingness to contribute to team success. Required Qualifications: High school diploma with two to five years of related experience. Ability to lift and carry up to 45 pounds, stand/walk for long periods of time. Ability to travel between our Minneapolis and St. Paul offices, facilitating collaboration across locations. Valid Minnesota Driver's License. Experience using Microsoft Office Suite365; must have intermediate to advanced Microsoft Office Word and Excel, PowerPoint, proficiencies. Ability to work in a fast-paced, collaborative, and results-driven environment. Exceptional verbal, written, and organizational skills. Professional telephone skills are needed. Excellent service orientation with a positive, can-do attitude.
