This position has administrative oversight of the SOM Ensembles area and primarily serves as manager for the University of Minnesota Bands (UMN Bands) program. UMN Bands ensembles include the Minnesota Marching Band, Athletic Pep Bands, six Concert Bands, two Jazz Ensembles and three Jazz Combos. This critical role serves as a bridge between the UMN Bands program and university, college, and community stakeholders. This position works with the Director of Bands and the Director of Marching and Athletic Bands to plan community outreach programs and activities and manage events. This position also heavily collaborates with the SOM Marketing and Communications team. The successful candidate will be adaptable, flexible, and responsive to shifting priorities and workflow in a fast-paced environment. They must be able to work independently, provide solutions to complex issues, exercise independent judgment, and take initiative. This position supervises a full-time Ensembles Librarian, part-timepart0time Office Support Assistant, graduate and undergraduate student employees, and reports to the Chief of Staff. APPOINTMENT DETAILS This is a 100% time, 12 month, Civil Service position. Salary is dependent on qualifications and experience. The School of Music operates on a hybrid work schedule. In-person presence is required for Welcome Week and the first two weeks of classes. RESPONSIBILITIES Responsibilities for this position include financial administration, outreach, engagement, and management of special events and regularly collaborates with internal and external stakeholders such as Northrop, UMN Athletics, UMN Foundation, college-level units, and community partners. Program and Project Management - 60% Manage finances for the UMN Bands including budget preparation, monitoring expenses, fees collection, and deposits. Serve as the primary purchaser, coordinating bids and selection as needed. Lead project teams through event planning from inception to wrap-up. This includes budget preparation, contracting, logistical planning, guest invitations, internal and external communication, vendor relations, volunteer coordination, payment collection, and on-site event execution. Manage all aspects of UMN Concert Bands events including the summer Wind Band Conducting Workshop, High School Honor Band, Concert Band Festival, and composer residencies. Plan and manage performance arrangements including contracts, travel arrangements for faculty and visiting guests, and special band concert receptions. Manage Marching Band & Athletic Pep Bands events including 10-day Spat Camp, Band Family Day, year-end Banquet, out-of-state travel to bowl games and additional non-regular Marching Band appearances (e.g. off-campus run-outs, regular-season away games, etc.). Conduct post-event surveys to evaluate event effectiveness. Communicate results and provide recommendations for improvements. Organize UMN Bands commissioning and recording projects in consultation with the Director of Bands. Collaborate with student service organizations (e.g. Tau Beta Sigma, Kappa Kappa Psi) and the Band Alumni Society on initiatives and collaborations that benefit the UMN Bands program. Manage ensembles office spaces. Serve as the primary representative for archival initiatives to ensure information and materials are retained for future reference. Act as a liaison between UMN Bands volunteers and the Digital Content Library, University Archives, the Music Library, and other archival institutions in determining proper storage options for historical documents and artifacts. Communication and Development - 20% Manage social media content scheduling and production for UMN Ban s' Facebook and Instagram accounts, and other platforms as needed. Supervise UMN Bands student social media coordinator. Collaborate with the School of Music Communications team to develop stories and for UMN Bands marketing and promotions. This includes sharing student achievements, communicating faculty engagement initiatives, and identifying students, ensembles or concerts that warrant further visibility. Initiate content creation for UMN Bands online and print advertising collateral including posters, postcards, and print advertisements for the Marching Band Indoor Concert, the Wind Band Conducting Workshop, or other UMN Bands donor events. Collaborate with the School of Music Communications team through the production process. Contribute ensemble-related content for School of Music publications, including Tutti magazine, online newsletters, the School of Music Viewbook and recruitment materials. Manage UMN Music Ensemble alumni data including event attendance, contact information, and ensemble participation in the Donor Management System (DMS) to track donor engagement and manage outreach and communication. Data is used for communication, engagement, and fundraising initiatives such as newsletters sharing relevant ensemble news to the respective alumni groups. Collaborate with CLA Office of Institutional Advancement on fundraising activities including Give to the Max Day and Marching Band donor events. Coordinate communication including scholarship and donor acknowledgement letters and Marching Band events and initiatives. Human Resources/Supervision - 20% Manage SOM Ensemble Librarian and Coordinator, part-time Marching Band Office Support Specialist, graduate and undergraduate, and temporary employees. Responsibilities include hiring, training, scheduling, workload, and performance management as well as providing feedback and annually reviewing performance. Timesheet approval and adjustments. Provide leadership, guidance, and oversight, serving as a resource for faculty and teaching assistants regarding processes, policies, and general information. Facilitate complex conversations. Hire and coordinate payment for student musicians and/or community members for conducting labs, Wind Band Conducting Workshop, rehearsals, and performances that require additional Musicians. Serve as point of contact for all administrative details between graduate and doctoral graduate teaching assistants and faculty in consultation with the Director of Bands and Director of Athletic Bands. Serve on department committees as needed. Qualifications Essential qualifications Bachelor's degree plus at least four years of experience in program, project and/or event management or a combination of related education and work experience to equal eight years. Able to work occasional evenings and weekends when special events are scheduled. Regular and efficient access to transportation to attend meetings, programs, and events.
