The Director of Administrative Support serves as the hub of the entire executive administrative team to ensure that the President is fully prepared and informed for all commitments in the short- and long-term and that each day is as predictable, well thought out, and organized as possible to maximize her impact and success. This person will report directly to the President's Chief of Staff, working in close collaboration with the President, senior staff, and others across the University system. Major Responsibilities * Develop strategies and structures to ensure that the President's time is used as strategically as possible and in alignment with her strategic priorities and agenda to ensure maximum impact on the University. * Ensure that the president's time is focused on the highest priorities, being clear that there is a purpose for every calendar commitment and working with the entire team to make sure she has all of the information she needs going into each day. * Understand, appreciate and reinforce the President's expectations and preference and incorporate them into the ongoing planning and execution of managing her time as strategically as possible. * Provide oversight and supervision of 4 executive assistants in the Office of the President to ensure that the collective team strategies and practices effectively manage the day-to-day operations of the office and the calendaring support that contribute to the success of the entire team. * Ensure the timely and appropriate planning and execution of the many logistics involved in managing the President's travel arrangements and expense reimbursements, in full compliance with University policies and procedures. * Oversee the compiling of meeting agendas and briefing materials, anticipating and preparing for unexpected issues, coordinating logistics, managing operational details, taking meeting notes, and following up as appropriate, in close collaboration with the senior staff. * Oversee the careful coordination of meetings with the President's Office staff, members of the Cabinet, University partners (e.g., UMF, UMAA, Gov Relations, Board Office, Senate Office); deans; faculty, staff and student groups and organizations; and external constituencies to create and sustain strategic opportunities for Presidential engagement. * Effectively prioritize work, problem solve, exercise independent judgment, and build constructive relationships with senior staff, University leaders, staff and others. * Other duties as assigned. The ideal candidate will: * have experience staffing a senior executive / CEO leader; * possess a superior level of timeliness, thoroughness and responsiveness; * be detail-oriented, organized, reliable, proactive, results-driven and able to work under tight deadlines; * be highly discreet with sensitive information and maintain strict confidentiality, including possessing exceptional judgment, discretion, confidentiality, and integrity; * have a proven commitment to, and track record of supporting, equity, diversity and inclusion; * possess experience handling and dealing with highly confidential information; * have a positive disposition with strong interpersonal skills, team mentality, emotional maturity, and ability to be professional, diplomatic and clear; * possess executive presence and be able to represent the President well with Regents, senior leaders and others across the institution as well as external partners and constituents; * be skilled in adapting well in the face of ambiguity or change; and * have an understanding and knowledge of the University's mission and its organizational structure. Position and Compensation This is a 100%, 12-month annually renewable appointment in the academic administrative personnel series (job code 9341M1, Administrative Manager 1). Salary is commensurate with qualifications and experience. Anticipated salary range of $110,000 - $140,000.
