HIRED Advancement Coordinator- North Loop Office in Minneapolis, Minnesota

POSITION DESCRIPTION/PRIMARY OBJECTIVE The Advancement Coordinator supports work within Hired s Advancement Team, which is responsible for all of Hired s fundraising, communications, and marketing functions. This position will report to the Advancement Director and will partner closely with the Individual Giving & Communications Manager to achieve goals and implement plans. This position does a variety of work: coordinating mailings and fundraising appeals to external stakeholders, ensuring data integrity for fundraising and communications, supporting marketing materials, implementing social media campaigns, supporting donor events, gathering participant images and stories, and assisting with other key priorities and projects within the Team. Core Job Functions Communications Support (55%): Support Hired s Strategic Plan Goals to improve internal and external communications, through a variety of responsibilities and tasks, including: Partner with the Individual Giving and Communications Manager to cultivate and create a cohesive social media strategy for the organization and implement it. Coordinate advertising efforts for Hired (via Google ads and other social media ads) and work with external consultants/ad managers to develop new strategies and revise messaging to achieve goals. Gather data and analyze information from social media and communications software to inform evolving communications strategies and tactics. Support the program teams marketing and outreach efforts to recruit participants, including development and updating materials in Canva or other team tools and on the website. Maintain, prepare, and update contact lists for appeals and mailings. Draft email messages and manage mailing lists in Hired s email software (currently Constant Contact) for regular messages to stakeholders. Draft monthly email newsletters to support communications goals. Support on-going collection of participant images and stories to support fundraising and communications, including coordinating participant photoshoots and interviews, drafting stories, and more. Support the proposed update of the agency s website in FY2025-26 and on-going website improvements. Respond to external inquiries via Hired s website and route appropriately. Manage vendor relationships and place orders for agency branded material, including written materials and branded items (SWAG) used for regular communication with stakeholders and recruitment of participants. Support Hired s Recruit Connect team, by customizing existing materials and managing recruitment material inventory at Hired s office locations. Donor & Communications Data Management (30%): Support the team s advancement of Hired s Strategic Plan Goals to diversify and increase philanthropic revenue, by maintaining integrity and accuracy in our data and reporting, including: Maintain up-to-date and accurate donor records, including gifts and pledges, contact and payment information, and donor contacts and other details. Prepare donor communications, including thank you letters, year-end tax summary letters, and other mailings. Assist in the development and documentation of database and accounting procedures and work with the finance department regularly to reconcile and ensure information is accurate and aligned in the two systems. Maintain up-to-date contact lists in communications software systems to enable segmented communications strategy. Special Project Support (15%) Support the planning and implementation of donor engagement initiatives and events, including our annual fundraising effort, coordinating multimedia systems with AV consultants during the program, venue preparation, volunteer engagement, and other activities. Coordinate special projects, such as distributions of Hired s Abundance Fund donations to approved recipients and communicating status of the fund to staff and managers.
