The Administrative Associate also serves as back-up to the Executive Assistant and Confidential Aide and the Office Manager, working to keep senior staff informed of and prepared for upcoming commitments and responsibilities, and keeping office and other leadership updated as appropriate. JOB DUTIES: Provide administrative assistance to the Office of the President senior staff supporting key initiatives, programs, and activities, including composing, editing, proofreading, and preparing correspondence, memoranda, announcements, reports, and other written materials as needed Calendar support to the Office of the President senior staff- schedule complex meetings and events, working with internal and external stakeholders, in support of the University's mission Manage all aspects of meetings, events, and office functions for President's Office senior staff including vendor selection and management, catering, guest lists, logistics, communications Support the Executive Assistant and Confidential Aide by assembling confidential materials, scheduling meetings and appointments, coordinating pickups and deliveries, scheduling conference rooms and meeting set up, and other project assistance as needed. Make recommendations to improve the efficiencies and effectiveness of office operations Act as the Departmental Facility Representative (DFR) and Key Coordinator for the Office of the President and serve as the back-up to the building Resource Responsibility Center Facility Lead (RRC-FL) Act as the main point of contact for day-to-day facility-related items for the building and Office of the President Reimbursements and travel card reports for Office of the President senior staff in Chrome River Open, prioritize, and distribute incoming mail and emails; process outgoing mail Maintain equipment and coordinating service needs Keep main office and work areas organized Manage office supply inventory and make purchases via U Market WORK DAYS: Monday to Friday WORK HOURS: 8am - 5pm WORK MODE: Monday to Thursday in person on campus; Friday - hybrid Qualifications REQUIRED QUALIFICATIONS: Bachelor's degree plus 2 years of related experience Experience using MS Office (Word, Excel, PowerPoint) and Google (Google Calendar, Google Drive, Google Hangout) Strong computer, database, and electronic calendaring skills Experience composing correspondence and preparing concise and accurate materials Excellent interpersonal, oral, and written communication skills, strong customer-service orientation, experience working with people from diverse backgrounds Demonstrated ability to handle confidential information and maintain confidential materials with discretion Demonstrated ability to work effectively in a fast-paced, deadline-driven environment Demonstrated ability to perform structured work assignments with precision and timeliness Experience working effectively and collaboratively as part of a team and also working independently with a high level of self-direction Experience writing, editing, and proofreading communications including correspondence, email, announcements, and reports Demonstrated organizational skills with attention to accuracy and detail Demonstrated the ability to provide direct support, managing calendars and providing meeting materials Demonstrated ability to coordinate meetings and events, including all logistical and technical details About the Department This position is located in the Office of the President.
