This position facilitates department communications including with and access to the Chair, and serves as the first point of contact for the department, including liaising with the Dean's Office as well as the Vice Chairs, Division Directors, Physicians, Center Directors, Department Administrator, and Associate Director for Operations in the Neurology Department. The position will also serve as the first point of contact for other senior leaders and their staff, across the University system, at M Physicians, at Fairview Health Services, and beyond. The ideal candidate will bring a working knowledge of the University's administrative and governance structures and deep experience in providing executive-level support. The incumbent will be the consummate professional, possessing integrity, sound judgment, tact and diplomacy, discretion, attention to detail, and a reputation for building and maintaining effective and trusting working relationships. The nature of this position supports the Chair, Serviceline Chief, and department leadership, therefore this position will work on campus full time. Job Duties/Responsibilities: * 10% - Identify, analyze, track and prepare responses/reports related to inquiries, projects, and issues related to advancing the strategic initiatives, objectives, and issues involving the Neurology Department. * 25% - Manage the Chair's complex calendar, balancing competing priorities to ensure that the Chair's time is used strategically, that the Chair and the appropriate parties are prepared for meetings, and that requests for meetings are redirected to others having expertise or authority for the subject to be discussed, when appropriate. Manage all travel and expenses for the Chair, including reconciling expense reimbursements, purchasing card statements, and contracts to ensure full compliance with University policy. * 25% - Serve as primary point of contact and liaison for the Department to internal (e.g. senior leaders, students, faculty, staff) and external affiliated stakeholders (e.g., Board of Regents, University of Minnesota Foundation, Office of the Vice President for Research, Office of Faculty Affairs, Medical School Communications, M Physicians, Fairview Health Services) as well as the medical device industry * 5% - Triage a large volume of complicated and/or sensitive inquiries, following up in a timely and appropriate manner on issues needing attention to ensure a high level of service for the office or, when appropriate, making referrals to other offices and staff. * 10% - Coordinate written communications to and from the Chair's Office, including preparing correspondence, reports, and presentations. * 25% - Manage all day-to-day operations to ensure the office functions effectively and efficiently, including establishing and communicating procedures and deadlines and identifying new ways of achieving efficiencies on an ongoing basis. Develop and maintain administrative systems such as databases and electronic and paper filing systems. Assume other special projects and duties as assigned Qualifications All required qualifications must be included in the application materials Required Qualifications: * BA/BS with at least 2 years of experience or a combination of related education and work experience to equal six years. * Advanced proficiency and experience working with MS Office Suite (i.e., Word, Excel, PowerPoint) and Google (i.e., Mail, Calendar, Drive, Docs, Sheets, Forms). * Ability to work on campus full time. * Demonstrated success in providing effective administrative support to leadership of the University. * Exceptionally strong organiza ional, interpersonal, and communication skills. A writing sample will be requested (letter, email, memo). * Demonstrated ability to manage complex meeting schedule arrangements. * Discretion and ability to work with and process sensitive information including confidential personnel, financial and legal matters. Preferred Qualifications: * Understanding of the University's organizational structure and culture as well as working knowledge of and experience with University systems, policies, and procedures. * Strong problem-solving skills and reputation for taking initiative when needed and appropriate. * Creativity, flexibility, and comfort in working with diverse populations.
