Portland House, a program of Lutheran Social Service of MN, is an alternative to incarceration that houses up to 25 adult men ages 18+ who are involved in a local county or Minnesota state correctional system on work release. As the Administrative Assistant, you will provide a broad range of administrative duties and support to staff and management team for the sound delivery of services to residents of Portland House, including front desk functions, answering phones, and recording documentation. The position is 16 hours per week. This position is responsible for: Comprehensive administrative, reception, and front desk support for Youth Services. Providing administrative responses for the Program Director, Program Manager and Program Coordinator. Job Requirements: 3+ years of relevant experience (administrative office setting) strongly preferred. Ability to manage and coordinate multiple administrative tasks daily. Ability to function independently, with attention to detail and accuracy. Effective interpersonal skills to work closely with the management team, staff, volunteers, and interns. Developed computer skills (Microsoft office suite) and training in the area of typing, advanced word processing, spreadsheets, database, desktop publishing, office management, and bookkeeping. Experience in EVOLV a plus, but not required. Incumbent routinely faces fluctuating demands on his/her time requiring the application of time management, organizational, and problem-solving skills. Incumbent applies knowledge of advanced administrative supports including data entry, typing, accounting, and other LSS business policies and procedures. Incumbent may apply creativity and problem-solving skills when responding to client inquiries or inquiries from the general public. Incumbent must apply the basic problem-solving methods when responding to inquiries about organizational services from persons who are confused, angry, or in crisis. Must have diplomacy and tact when confronted with inquiries. The successful candidate must be cleared by a Bureau of Criminal Affairs (BCA) background study and have a drivers' license; a Motor Vehicle Check (MVR) is required.
