This job posting is for a casual administrative coordinator (i.e., maximum of 14 hour per week, hourly appointment) in our research program area to work with the Knowledge Initiatives (KI) team. In this short-term administrative role, you will support the administrative needs of the program area and Sustainable Land and Water Resources Research Experience for Undergraduate students (SLAWR REU) operations, including financial transactions, event logistics and coordination, and facilitate HR processes. You will have mentorship support through collaboration with our core Admin & Operations team. Your supervisor will be Dr. Melissa Kenney, IonE Director of Research and Knowledge Initiatives who will direct the tasks of this position. This position is structured as a P3 position with the majority of the work occurring outside of the office with some in-person work required to facilitate event coordination. The position is structured through Summer 2024. Principal Duties and Responsibilities The duties listed below are not exhaustive and may evolve and shift with the organizational priorities; percentages represent expected averages over several weeks instead of a strict week-to-week allocation of time. All work is expected to integrate IonE's DEIJ values and implement community norms or explore creative administrative solutions to advance the DEIJ action plan. Additionally, the candidate is expected to provide weekly priorities and to report daily on the number of hours worked and the tasks completed. Purchasing and reconciliation 2024 - 70% This category is about coordinating team financial transactions, including making purchases, tracking expenses, and processing payments. * Administer SLAWR REU financial transactions, including setting up student stipends, purchasing and reconciling research or event meals and supplies, and developing clear processes to ensure efficient review, approval, and reconciliation of such purchases * Coordinate dorm and meal plan reservations for students, including processing invoices * Set up contracts, tracking deliverables, and submitting invoices * Use P-card to purchase supplies for the team. * Handle Chrome River and P-card reimbursements. * Other duties as assigned HR Processes and other administrative support - 20% This category of work is about supporting administrative processes and questions and as needed requests in support of KI and SLAWR REU priorities. * Help facilitate group HR processes, including setting up the review paperwork conducting the administrative review for hiring and working with the supervisor to draft onboarding processes given templates for new KI team members * Assist SLAWR REU students with any questions regarding flights, dorms, stipends, and other relevant administrative concerns * Available to KI team members to answer day-to-day questions on Basecamp * Assist team members with connecting to IT support and resolving technical issues * Other duties as assigned Event and travel support - 10% This category of work is about coordinating events and travel necessary to support KI and SLAWR REU priorities. * Handle room reservations, catering, and set up for SLAWR REU, KI DEW, and other KI in-person and hybrid events * Occasionally make travel arrangements, coordinating bookings and expense reports * Other duties as assigned Qualifications Qualifications Required Qualifications: * BA/BS or a combination of education and work experience equal to four years o Experience may include time working in positi ns that manage a high volume of financial transactions * Demonstrated commitment to valuing, promoting, and/or advancing diversity, equity, inclusion, and justice efforts * Completed required training on UMN systems and knowledge of UMN business procedures and policies and a demonstrated familiarity with accounting/financial processes * Mid-level proficiency in the suite of Google & Microsoft applications; i.e., Gmail, Google calendar, Google drive, MS Word, and MS Excel * Customer service mentality, seeking to advance the Institute and its mission through service to key staff and stakeholders * Able to give, receive, and ask for feedback to foster growth and development About the Department Who are we?
