The Administrative Assistant II, Medical Clinic position provides a critical interface with the patient and health care delivery system in the Medical Clinic and includes primary responsibilities for patient reception, appointment scheduling, medical record management, patient billing and telecommunications for the clinic. Extensive knowledge of over-all clinic operations and Medical Clinic policies and procedures is required to manage patient intake and flow from the front desk area. The Administrative Assistant II, Medical Clinic is expected to exercise judgment and initiative in handling front desk activities, identifying problems and seeking and implementing solutions. Additionally, this position provides administrative support for the department leadership. This position is cross trained to provide back up front desk coverage at the Counseling Center and Student Wellness Unit. Duties and Responsibilities 1. Telecommunications greeting patients and others, manages large call volume, verifies eligibilities, explain P&Ps, handles sensitive and confidential information, refers, or consults other staff as needed 2. Patient Scheduling Schedule appointments for students: assess urgency, nature, and /or severity of medical needs following established guidelines. Equitably schedule patient appointments to available providers. Notifies patients/clients of provider absence and reschedules their appointments. Assist patients with self-check-in process when needed. 3. Administrative Support Provides administrative support for the leadership, including maintaining Outlook calendar, organizing meetings, creation of spreadsheets, documents and special projects. Provides Administrative Support for Wellness + Recreation unit directors including assisting with all staff meetings and in building event planning, outreach efforts and projects. 4. Medical Record Services Processes release of information using established policies and procedures. Scans outside documents, lab orders, physician orders, radiology into medical records system. Accesses computer system for medical record manage ent. Clarifies, corrects, and updates name changes, and other demographics, detect chart duplicates and follow through with the corrections. 5. Patient Billing and Insurance Collect insurance information for international students/mandated insured students. Enter insurance information for student athletes and international students into the medical records system. Verify insurance status for international student insurance. Collect fees for services in the medical clinic. Completes nightly \"close out\": deposit report, CRV\'s, balances monies taken in for the day. Send out monthly billing via email and mail services. Complete annual PCI compliance training 6. Front Desk Coverage Provide Counseling Center Front desk back up coverage including scheduling appointments, answering phones, providing information on services and resources both on and off campus, transfer calls using multi-line switchboard, scan documents, data entry, making copies and other routine office tasks. Provide Student Wellness front desk reception coverage and assist visitors with wayfinding. 7. Other/Miscellaneous Maintains neatness and overall appearance of file area and front desk/reception area. Responds quickly and appropriately to emergency situations (fire, patient emergency, etc.). Maintain knowledge of emergency procedures through participation in scheduled drills, classes and personal review. Attend department meetings. Attend training sessions to enhance communication skills, skills in dealing with the public and customer service when offered. General immunization compliance assistance. Direct patients to the patient portal. Explain immunization policy and requirements.
